ESS LIFE EVENT BENEFIT ELECTIONS

After employees have completed benefits elections through a life event user-flow in ESS, you can use this screen to view, change, confirm, or approve these elections for each employee. After you have approved elections in this screen and uploaded them into Costpoint (using the Activate Pending Benefits Elections screen), you can modify benefits information for employees in the Employee Benefit Elections screen in Costpoint Employee (Costpoint Benefits in Costpoint 4.0). Administrators can also use this screen to view and edit dependents' elections and Flexible Spending Account (FSA) information.

You should review the data in this application when an employee completes a Life Event user flow in ESS, where the user flow included benefit elections. An employee's benefit elections must be approved before they can be selected for activation in the Activate Pending Benefit Elections screen.

Employee

This field displays the ID of the employee that made benefits elections through a life event user-flow in ESS.

Life Event

This field displays the life event code assigned to the employee record.

Benefit Package

This field displays the benefit package that will be used to determine an employee's enrollment options in the life event's user-flow in ESS.

Life Event Date

This field displays the date of the life event.

Table Window

This table window displays all current benefit elections (except FSA information, which is viewable in the ESS FSA Elections subtask) for the employee. When you set the Approved field to "Y" (Yes) for a line and save the record, the Approved field in the Dependent ESS Benefit Election subtask will also be set to "Y" (Yes) for the selected benefit election. If the employee election is changed, the system will confirm that the dependent election matches the employee election.  Likewise, if an employee election is deleted, the corresponding dependent election will also be deleted.

Benefit Plan

Enter, or use Lookup to select, the code for the benefit plan you want assigned to this employee's benefit elections. The benefit plan must already exist in the package that has been assigned to the employee in the Employee Benefit Elections screen in Costpoint Employee (Costpoint Benefits in Costpoint 4.0). This is a required field.

Benefit Plan Name

This field displays the name assigned to the code in the Benefit Plan field.

Coverage Option

Enter, or use Lookup to select, the coverage option for this employee's benefit plan. The items available for Lookup display from the Coverage Options subtask of the Benefit Plan Setup screen.

Coverage Option Name

This field displays the name of the Coverage Option.

Start Date

This field defaults with the date from the Life Event Date. You can edit this date if the start date is not the same as the Life Event Date.

End Date

This field defaults with the date from the Current Plan Year End Date field in the ESS Company Settings screen for the taxable entity ("company" in Costpoint 4.0) that is assigned to the employee.

Dep Req'd

This field displays "Y" (Yes) or "N" (No) to indicate whether or not dependents are required for the benefit plan. You can change the value in this field in the Dep Req field in the Coverage Options subtask of the Benefit Plan Setup screen.

Dep Elec's

This field displays "Y" (Yes) or "N" (No) to indicate whether or not dependents are elected to the employee's benefit plan in the Assign Dependents to Benefit Plans screen in Costpoint Employee (Costpoint Benefits in Costpoint 4.0).

Dep Elig

Note: If the dependents selected by the employee do not match the option selected in the Dep Elig field in the Benefit Plan Setup screen, an error or a warning may display, depending on the Enrollment Rules Edit Method in the Benefit Settings screen.

If the Dep Req'd field displays "Y" (Yes), this field displays the dependent eligibility code selected in the Benefit Plan Setup screen in Costpoint Benefits. This field does not display unless you are licensed for ESS 7.15 or greater.

Selected dependents must have the same benefit plan as the employee. Valid options are:

"O" (One) - This option is selected for one dependent of any type.

"S" (Spouse) - This option is for a spouse.

"C" (Children) - This option is for any qualified children or step-children.

"F" (Family) - This option is for a spouse and at least one child.

"G" (Group) - This option is for two or more of any type of dependent.

"A" (Any) - This option is for anything else. Costpoint checks to make sure that one or more dependents of any type have been selected.

Note: If you change the eligibility code for an existing record, you may be required to change the dependents for that coverage option in ESS and the Assign Dependents to Benefit Plans screen.

This field displays the coverage amount for which the employee is eligible. The system calculates this value using the settings for the coverage option from the Coverage Options subtask of the Benefit Plan Setup screen.

Enter the primary care physician number in this field.

Note: You must fill in the Primary Care Physician and PCP# fields if the Require PCP Name and Number checkbox is selected in the Coverage Rules group box in the Benefit Plan Setup screen.

This field displays "Y" (Yes) or "N" (No) to indicate whether or not the ESS election has been saved in the system. You can edit this field.

Confirmed

This field displays "Y" (Yes) or "N" (No) to indicate whether or not the ESS election has been confirmed in the system by the ESS Administrator in this screen or by the employee in ESS. You can edit this field.

Approved

If the benefit plan requires approval (i.e., the Requires Approval checkbox is selected for the benefit plan in the Benefit Plan Setup screen), this field displays "Y" (Yes) or "N" (No) to indicate whether or not the ESS election has been approved by the ESS Administrator. You can change this value. However, if the benefit plan does not require approval (i.e., the Requires Approval checkbox is not selected for the benefit plan), this field will display "N/A" (Not Applicable), and cannot be changed to "Y" or "N." If you set this field to "Y" (Yes) for the selected benefit option line and save the record, the Approved field in the Dependent ESS Benefit Election subtask will also be set to "Y" (Yes) for all dependent election lines.
