Client Invoice inquiry

Ajera automatically creates client invoices for projects and updates them as you enter billable time and expense transactions.

Use this inquiry to see information for each active client invoice. The information includes client, project ID and description, invoice amount, amount received, aging information, and invoice status.

If needed, you can add predefined columns and view supplemental information such as invoice type and group, and a breakdown of invoice amount based on labor, expenses, and consultants.

Using the inquiry

From the Inquiry menu, click Client > Client Invoice.

Examples: Approved, Draft, Final, Hold, Reissue, Writeoff

The name of the client associated with the invoice

 

Project ID & Description

Project

The ID and description of the project associated with the client invoice

 

Invoice Number

Client Receipt

The user-provided alphanumeric identifier of the client invoice

 

Invoice Date

 

The date of the client invoice

Aging is based on this date.

 

Amount

 

The total amount of the client invoice, including labor, expense, consultants, adjustments, and sales tax

The amount of the invoice paid by the client

 

Amount Written off

Client Receipt

The amount of the invoice written off for the client

 

Outstanding

 

The amount of the invoice remaining to be paid by the client after the invoice has a status of Final

 

Aging 0-30

 

The amount remaining to be paid on a client invoice under 31 days old

 

Aging 31-60

 

The amount remaining to be paid on a client invoice between 31 and 60 days old

 

Aging 61-90

 

The amount remaining to be paid on a client invoice between 61 and 90 days old

 

Aging 91-120

 

The amount remaining to be paid on a client invoice between 91 and 120 days old

 

Aging +121

 

The amount remaining to be paid on a client invoice older than 120 days old

Invoice Group

 

The invoice group associated with the client invoice

 

Invoice Accounting Date

 

The accounting date associated with the invoice once it is Final. this date determines when the information appears on financial statements.

Cutoff Date

 

The date Ajera uses to determine which transactions are billable and can be attached to the client invoice

Transactions before the cutoff date have a status of Billable; those after the cutoff date have a status of Defer.

Billing review (unavailable in ajeraCore):

Project Manager Action

 

A check mark indicates that the invoice is ready for review by the project manager.

 

Billing Manager Action

 

A check mark indicates that the invoice is ready for review by the billing manager.

 

Principal Action

 

A check mark indicates that the invoice is ready for review by the principal.

 

Accounting Action

 

A check mark indicates that the invoice is ready for review by accounting.

 

Billing Review Stage Key

 

The database identifier of the billing review stage associated with the client invoice

 

Billing Review Stage

 

Indicates at what stage the client invoice is in the billing review process

 

Billing Review Due Date

 

Indicates the due date for the current billing review stage

For example, a PM Review stage with a due date of 12-2-10 indicates that the project manager must complete the review by December 2.

The amount of the labor cost on the client invoice

Balance as of Invoice Date

 

The amount remaining to be paid by the client as of the invoice date. Use this column to create Outstanding Balance and Aging columns by applying a cutoff date range to the column properties.

Last Receipt Date

 

Date of the last receipt paid by the client toward the invoice

The method used to calculate billing on this client invoice as defined on the project, phase, or invoice group
