Accrual (Payroll) inquiry

unavailable in ajeraCore unless you have the Payroll add-on

Use this inquiry to see how many hours are available for accrual pays, such as vacation and sick. The inquiry lists the balance of the hours accrued and taken. By default, the inquiry shows accruals for all paychecks.

Using the inquiry

From the Inquiry menu, click Payroll > Accrual.

Do this

Show only data for a specific payroll year

Add a new condition as follows:

Click .
Click the Conditions tab.
In the first available field on the left, select Payroll Year. In the next field on the row, select the = sign. In the field on the right, select the year you want to report on.

See the detail for hours that comprise the balance

Expand the row for the employee name by clicking the plus sign.

Summarize information by supervisor or department

The inquiry groups information by accrual pay and employee.

To group by supervisor or department, add the column to the inquiry and then group by the column.

Inquiry conditions

The inquiry automatically contains a condition to show only data with a check status of Paid. You can always add, change, or delete a condition on an inquiry.

Groups

The inquiry is grouped by accrual Pay Description (the accrual name) and Employee. You can always group or ungroup columns, as needed.

Standard columns

Payroll year		The year the payroll occurs
Payroll status		The status of the payroll
Item description		The description of the accrual or other pay
Pay date		The date of the payroll
Employee		The full name of the employee with the accrual pay
Accrual hours	Check Summary	When the row is collapsed, it shows the number of hours available for accrual pay. When the row is expanded, it shows the detail of hours accrued and taken. You can set a date for the data displayed in this column.	x

Predefined columns

You can add predefined columns to this inquiry. These columns are available:

Payroll Key		The database identifier for the payroll associated with this accrual pay
Description		Information about the payroll associated with the accrual pay It identifies if the payroll is regular or for beginning balances, the date range of the payroll, and the date paid.
Payroll Quarter		The quarter the payroll run occurs For example: Qtr 2 2008.
Payroll Company Key		Multi-company only. The database identifier of the company associated with the accrual pay
Payroll Company Name		Multi-company only. The name of the company associated with the accrual pay
Pay Check Key		The database identifier for the pay associated with this accrual pay
Check Number		The paycheck number
Check Status		The status of the paycheck
Is Employer		When associated with a tax, it specifies if the tax is an employer obligation.
Order		The order of pays on the Pay List window (Company > Payroll > Pays)
Item Type		The type of payroll accrual, such as a pay or deduction
Accrual Pay Description		The description of the accrual pay, such as vacation and sick accrual
GL Department Key		unavailable in ajeraCore unless you have the Departments add-on The database identifier for the GL department associated with this accrual pay

GL Account Key		The database identifier for the GL account associated with this accrual pay
GL Account ID		The ID of the GL account associated with this accrual pay

Supervisor Key	Employee	The database identifier for the supervisor of the employee associated with the accrual pay
Supervisor	Employee	The supervisor of the employee associated with the accrual pay

Middle Name		The employee's middle name
Last Name		The employee's last name
Employee Status		The employee's status
Employee Company Key		Multi-company only. The database identifier of the company linked to the employee associated with the accrual pay
Employee Company Name		Multi-company only. The name of the company linked to the employee associated with the accrual pay
Hours		The number of hours for the item	x
Employee Amount		The dollar amount of the hours taken against the accrual pay	x
Employer Amount		Does not apply to this inquiry	x
Session Key		The database identifier for the session related to this accrual pay
