Talent Management - Vantagepoint

The Talent Management - Vantagepoint productized integration connects supported data points in both systems for the following processes: New Hire, Rehire, Employee Updates, New Organizations, Organization Modifications, and Employee Termination. This integration is accessible through the Unionpoint Portal.

Productized Integration Overview

Deltek Vantagepoint is a single cloud-based or on-premises solution that puts projects and people at the center of your business so that you can improve productivity, efficiency, and profitability. Deltek Talent Management helps you improve the quality of new hires, increase employee engagement, and maintain compliance, all while giving you comprehensive visibility into the state of your workforce.

The Talent Management - Vantagepoint productized integration uses connectors built by Deltek for both products, empowering you to focus on hiring and managing employees:

  • When Talent Management has the Core HR Module enabled, all employee information is sent from Talent Management (which holds the system of record for employee data) to Vantagepoint (such as new hires, employee changes, and terms).
  • When Talent Management does not have the Core HR module enabled, employee changes are made in Vantagepoint and then synced to Talent Management, which then serves as the system of record for employee data.
  • Organization changes are sent from Vantagepoint to Talent Management.

Before You Deploy

Considerations and Limitations

When using the Talent Management - Vantagepoint productized integration, take note of the following considerations and limitations:

Location Codes

If your Vantagepoint and Talent Management employee records contain location data, then it is essential for the correct operation of the integration and its ability to synchronize employee data between the two systems, that you maintain symmetry between the Location Codes defined in Vantagepoint and those defined in Talent Management. You need to perform these steps prior to configuring the Vantagepoint - Talent Management productized integration.

  1. The recommended approach is to align the Location Codes in your Talent Management system to match those in your Vantagepoint system.
  2. If you already have locations defined in either system, then you need to review them, and ensure that the Location Codes are aligned in both systems.
  3. As you add new locations to either system, or make updates to existing Location Codes going forward, you will need to maintain this alignment across both systems.
    • To review and manage the location definitions in your Vantagepoint system, navigate to: Settings > Labels and Lists > Lists and select Employee Location.
    • To review and manage the location definitions in your Talent Management system, navigate to: Administration > Global Settings > Your Organization > Location.
    • If any Employees in your Talent management system need corrected locations, you can edit them via user management or bulk user upload.
Unique Email Addresses

Vantagepoint allows duplicate email addresses. However, when sending employee data from Vantagepoint to Talent Management, each employee record must have a unique email address for Talent Management to accept and process the data.

Configuration

When parameters are entered and the integration is initiated, all the configuration required in Vantagepoint and Talent Management, such as enabling variables, are done through the Unionpoint Portal.

Parameters

This connector requires parameters to be entered for both connections.

Connection to Talent Management

To connect to Talent Management, a new connection requires the following parameters:

The connection name for the integration. This is specific to each integration, and cannot be reused or renamed.

Talent API Authentication Token

The authentication token provided by Talent DCO.

Note: To request for an authentication token, submit a support case to Deltek Support Services.

The version of the service-oriented architecture for Talent Management, which is the same thing as its API version.

Connection to Vantagepoint

To connect to Vantagepoint, a new connection requires the following parameters.

Note: The information for some of these parameters come from the API Authorization app in Vantagepoint. When creating a new API Authorization record for Unionpoint, you are supplied the Consumer Key and Secret.

Connection Name

By default, this connector uses the connection name, My Deltek Talent account. You can opt to replace this default connection name and use your preferred connection name. The connection may be reused in other recipes.

Vantagepoint Domain and Path

The fully qualified domain name and path to your Vantagepoint instance.

Consumer Key

The ID of the client.

Secret

The secret key of the client. This allows the connector to authenticate through a single API key or secret.

Redirect URL

The redirect URL to be copied into Vantagepoint (under Integrations - API Authorization - Callback URL) for your integration instance.

Database

The database of the client.

Culture

Language of the Vantagepoint database.

Account Properties

The Talent Management to Vantagepoint Integration configuration requires the following account properties to be set from the portal. They are set and managed by Deltek customer service.

Does the customer use Talent Core HR?

On/Off

This property determines the flow of data for the integration. When set to ON, employee changes and terminations are sent from Talent Management, the system of record for employee data, to Vantagepoint. When set to OFF, employee changes and terminations are made in Vantagepoint, the system of record for employee data, to Talent Management. (New hires are always sent from Talent to Vantagepoint regardless of this setting).

Note: Once set, this cannot be changed.

Run Initial Data Sync

Note: Prior to v1.15: InitialDataSync

Unionpoint setting for initial data sync of users (employees).

On/Off

When set to ON, Unionpoint proceeds with the initial data sync of users/employees between Talent Management and Vantagepoint. When set to OFF, Unionpoint skips the initial sync and proceeds to the rest of the configuration settings. If you do not run a full sync you will only get "On Change" updates synchronized and will not have a full data set.

Additionally, selecting ON is intended for when User Data needs to be added to Talent Management (such as new Talent implementations). Selecting OFF is intended if the User Data is already added to Talent Management.

Run Upgrade Data Sync

Note: Prior to v1.15: UpgradeDataSync

Unionpoint setting for update data sync.

On/Off

When set to ON, Unionpoint synchronizes Organizations and Employees on integration upgrade. When set to OFF, Unionpoint skips the sync of Organization and Employees on Integration upgrade.

Additionally, selecting ON is intended for when Organization and User Data has yet to be added to Talent Management. Selecting OFF is intended if Organization and User Data has already been added to Talent Management.

VP Employee Number Length

Note: Prior to v1.15: EmpNumberLength

Confirm the what's configured in the Vantagepoint setting for how many digits the employee ID field should contain in Vantagepoint. Found in Key Formats > Employees > Field Length.

Hire Trigger - Use Onboarding Completed

Note: Prior to v1.15: OnboardingUsed

Do you want to use Onboarding Completed as the trigger to send new hires from Talent Management to Vantagepoint?

On/Off

Selecting ON means a custom onboarding workflow must complete in Talent before an Employee will be added to Vantagepoint. Selecting OFF means Onboarding is not used in Talent.

VP Employee Auto Number Enabled

Note: Prior to v1.15: UseAutoNumber

Confirm if Vantagepoint is configured for whether a new employee ID is populated using automated numbering. Found in Workflow > Numbering > Employee (row) + Auto Number Source (column).

On/Off

Selecting ON means Employee IDs are auto generated in Vantagepoint. Selecting OFF means Employee IDs are manually entered.

Only Send Organizations with Employees

Note: Prior to v1.15: ExcludeEmptyOrgs

Customer choice to exclude organization records that aren't associated with employees in the Organization data sync from Vantagepoint.

On/Off

This can be changed in the future by stopping the integration, changing the property, and starting the integration.

Create Job Seeker profiles for Employees

Note: Prior to v1.15: MakeAllEmpsJobseeker

Should all new users created in Talent Management be also added as an internal "jobseekers" group?

On/Off

Selecting ON will create an internal jobseeker profile for active employees in Talent Management to allow Administrators/Recruiters to update their resume profile on their behalf, search for skills/competencies, etc. Selecting OFF will not make Employees marked as a jobseeker.

Note: Applies to the initial data sync only during initial deployment only.

Exclude Employees without Labor Type

Note: Prior to v1.15: ExcludeContractors

Customer choice to exclude contractor records in Vantagepoint from sending to Talent.

On/Off

Selecting ON will exclude contractor records in the initial data sync and any subsequent updates from Vantagepoint to Talent if applicable; selecting OFF will create Contractors as Employees in Talent. This can be changed in the future by stopping the integration, changing the property, and starting the integration again.

Send Terminated Employees - Days Ago

Note: Prior to v1.15: TermDaysAgo

Limits the historically Employees that sync. Include terminated users from X number of days ago in the initial data sync during deployment. Terminated Employees will not be synchronized if they were terminated more days ago than you set here.

Note: Inputting 0 will exclude terminated users from being created in Talent Management during the initial data sync. Inputting a number such as 30 will send employees terminated in Vantagepoint within the last 30 days and create a terminated employee record in Talent Management.

Integration Notification Emails

Note: Prior to v1.15: NotificationEmail

The email addresses to notify for failures and connection issues.

Note: Separate multiple addresses with ; semi colon. Recommend at least two email addresses for back up.

Do Not Sync Manager/Supervisor

Note: Prior to v1.15: DoNotSyncHiringManager

Determines whether or not to sync Talent Manager with Vantagepoint Supervisor and vice versa.

Talent Management to Vantagepoint Data Mapping

For seamless integration between applications, you need to map data appropriately. This section provides data mapping information for the integration from Talent Management to Vantagepoint.

The integration from Talent Management to Vantagepoint currently consists of new hires information. Vantagepoint uses the data provided by Talent Management and populates fields in the following Vantagepoint tables:

  • EMMain
  • EMCompany

Troubleshooting

If you encounter an issue when running an integration between Talent Management and Vantagepoint, review this section.

Retry a Failed Job

When a job fails, you can view the error message for additional information and retry the failed job.

To retry the failed job:

  1. When the error message displays, click the link to log back into the Portal.

    The Portal login page displays.

  2. Retry the failed job.

View the Error Log

You can view the error log in the Talent Management to Vantagepoint Integration Error Log grid in the portal.

Note: The integration no longer logs when the Talent app goes offline for maintenance as an error.

To view the error log:

  1. From the available integrations in Unionpoint, select Vantagepoint to Talent Management.

    Information about the integration displays.

  2. Click the Error Log tab.
