Grid
The following columns in the grid are used to define each formatting rule:
| Field | Description |
|---|---|
| Applies To |
This column allows the selection of any of the columns in the current spreadsheet view, as well as a < Row > item. Select < Row > (with the Criterion field blank) to define the characteristics of all rows in the spreadsheet. With a criterion specified, only the affected rows receive the specified attributes. You can even override the attributes of a summary or grand total row by entering the appropriate expression in the Criterion column. Define the appearance of your rows first — either conditionally (using the Criterion column) or unconditionally (by leaving the Criterion column blank) —and then select individual columns to override the row characteristics as the other criteria are met. |
| Criterion |
Use this column to specify the conditions under which the column or row will adopt the characteristics defined in the rule. For instance, critical activities may be assigned a different color (such as red), while completed milestones might be indicated in a more soothing color. This column lets you select any filter defined on the Filters dialog box (choose < Select Criterion >), as well as any calculated field that returns a TRUE/FALSE result. You can also enter "on-the-fly" expressions (for example, "TOTALFLOAT > |2d|" for activities with total float greater than 2 days). |
| Font |
Use this column to specify the font, attributes (regular, bold, italic) and size of the text as it should appear in the defined row or column. |
| Text Color |
Use this column to specify the color of the text in the row/column. |
| Background |
This column is used to specify the background color of cells. |
| Alignment |
Align the text (or image, if selected) left, right, centered, or use the default alignment. |
| Image |
You can use this column to add an image to the cells in a column or rows. Open Plan uses metafiles that are defined using the Symbols dialog box. There are hundreds of combinations of symbols and colors from which to choose. Images may be assigned to column rules, but not to row rules. |
| Image Context |
When you have selected an image to display in the spreadsheet view, this column determines how the image will appear relative to any text that may be in the cell. You can choose from the following:
Images may be assigned to column rules, but not to row rules. |
| Show This Explanation |
This column is used to specify the explanatory text you want to display when you hover your cursor over the row or cell. Enter the explanation why the activity box has that specific formatting such as font type, text color, background color, image, and so on, and what conditions or rules are set for the formatting to be applied. |
Below the Grid
The following controls and features are available below the rules grid:

With multiple rules specified, the appearance of a row/column in a spreadsheet is the result of a combination of rules, with each rule evaluated from top to bottom in the grid. For all rules that evaluate to true for a specific row or column, any attribute that has been changed on a rule further down in the grid will override that attribute for a rule higher in the grid. If a rule on a lower row contains < Default >, the prevailing setting in an upper-row rule remains in effect. Similarly, if all rules have a particular column set to default, Open Plan looks to the Spreadsheet Preferences dialog box or Edit Column dialog box for the prevailing attribute. |

| Preview |
When you select a row in the rules grid, the Preview box shows how the cells in the spreadsheet will appear when they match the defined criteria. To see the effect of a combination of rule rows, click the gray box to the left of the row to select the entire row, then SHIFT+click the last box in the range you want to preview. To select non-adjacent rows, CTRL+click the rows you want to include in the preview. |
