Reconcile General Ledger and Project Ledger Revenue

View this section to learn about the steps in running the Revenue Reconciliation Inquiry screen.

Before the Revenue Reconciliation Inquiry screen displays results, you must specify several filter fields. The steps below explains how to run the inquiry, describes what each field controls, and provides guidance on what values to enter.

  1. Display the Revenue Reconciliation Inquiry screen.
  2. Enter the Fiscal Year you want to analyze.
  3. Enter the Period within the specified fiscal year.
  4. Enter an F/S Code.
    This option controls which accounts are treated as revenue accounts in the comparison. Only accounts mapped to the selected financial statement code with the Revenue checkbox selected are included in the GL Total.
  5. Enter an Account Level.
    This field controls how detailed the account breakdown is. Enter 1 to view top-level account segments. You can enter a higher number for more details or enter 0 for full account-level details.
  6. Enter a Project Level.
    This field controls how projects are rolled-up. Enter 2 to view projects at the second level. Enter 0 for full project details.
  7. Enter an Organization Level.
    This field controls how organization levels are rolled-up. Enter 2 to view organizations at the second level. Enter 0 for full organization details.
  8. Select a Rate Type.
    Select Actual to use actual billing rates in the Project Ledger Total, or Target to use target billing rates. This affects the Project Ledger Total only and- not the GL Total.
  9. In the Additional Options group box, select a period scope.
    Select PTD to view the current period only, YTD to view all periods in the fiscal year up to and including the selected period, or ITD to view all periods from project inception.
  10. You can enter an Account, Project, or Organization, but these are optional and used only for further filtering.
    If you enter an Account, the results will be filtered according to the account you entered and the accounts in that range.

    If you enter a Project, the results will be filtered according to specified project and all of its child projects.

    Tip: Project Roll-up Behavior

    When you enter a Project and set the Project Level to 2, all child projects under that top-level project are included in the total. This functionality provides a rolled-up view.

    If you want to view each child project separately, enter a higher value in the Project Level field or do not enter a Project.

    If you enter an Organization, the results will be filtered according to the specified organization and its child organizations.
  11. Click .
    If valid records meet the filters you entered, the GL and Projects table windows are populated.
  12. Select a record in the GL table window and click the GL Details subtask to view more details about the GL record.
  13. If the Variance is not 0, a discrepancy exists between the GL Total and the Project Ledger Total.
    This situation requires further review.
