Manage Prospective Vendors

Use this screen to set up and manage prospective vendors that can be your potential suppliers.

Note: For Costpoint Cloud, you can choose to opt in to this feature for the Costpoint 8.2.15 release. The ability to opt in is temporary and will be removed when the feature becomes automatically enabled for all users as part of a future Costpoint release. See the Manage Opt-In Features topic for more information.

If you are licensed for Capture & Contracts, this screen is also available as a standalone application in the Capture and Contracts domain, Manage Contract Management Vendor Info (CTMVEND).

When you create new records on this screen, Costpoint performs validations to identify if there are similar and/or duplicate records in Manage Contract Management Vendor Info and Manage Vendors (APMVEND).

You can enter the address, contact information, vendor employees, non-disclosure and teaming agreement details, and any notes pertaining to vendors. You can add activities and tasks related to the vendor. You can also specify values for user-defined fields for each vendor. If you are licensed for Supplier Portal, you can set up a prospective vendor contact to automatically have a user account created for them, or have a request submitted to a system administrator to create one once you approve that prospective vendor, depending on the option selected in the Supplier User Login Creation drop-down list of the Configure System Settings screen.

Prospective vendors must be approved using the Approve Prospective Vendors screen before they can be used in vouchers, cash disbursements, contracts, and projects. After approval, prospective vendors become active vendors.

If you are configured for GovWin IQ to Costpoint Vendor integration, you can use the Import GovWin IQ Vendor Data application to import vendors from GovWin IQ and add them as prospective vendors in the Accounting and Capture & Contracts domains. A new prospective vendor record is created when the GovWin IQ company ID does not exist for a regular or prospective vendor. Data for regular vendors added through Import GovWin IQ Vendor Data display on the Manage Vendors screen in the Accounting domain.

Use Import GovWin IQ Vendor Data when importing or updating a single or multiple GovWin IQ prospective vendor records. For a specific GovWin IQ prospective vendor record, you can run the integration routine in Manage Contract Management Vendor Info using the Refresh from IQ button on the General tab.

This screen has the following tabs:

  • General: Use this tab to enter general information and legal classification for regular or prospective vendors.
  • Notes: Use this tab to enter relevant notes or comments about regular or prospective vendors.
  • Supplier/Vendor Rating: Use this tab to view supplier/vendor rating information for regular vendors. This tab is visible only for regular vendors and hidden for prospective vendors.
