Purge Project and Billing Information

Use this screen to purge the setup, maintenance, processing, report, and history tables of projects that you no longer want to track, bill, or report.

This purge process is limited to the projects and billing tables.

Before purging, the application checks all activity tables throughout Costpoint to ensure there are no unposted transactions. After the purge process, the project remains on the Manage Project User Flow with an inactive status and cannot be modified. The project is also marked as purged in the PROJ table.

You can enter any level of a given project to purge. Costpoint purges all levels at and below the level entered. Note that purging at a level other than the top level can have an affect on the entire project. For example, if you purge the lower levels of a project that contains transactions and the revenue formula resides at a higher level, the Compute Revenue process does not have a basis on which to calculate. Also, purging the modifications of the lower levels has an affect on the top-level modification amounts of the project. In this case, you need to execute the Update Project Contract and Funded Values and Update Project Period of Performance toolkits to ensure that the project tables are completely updated. Note that you cannot purge a project level that is lower than the level at which the billing formula is set up.

Warning: This process is not reversible. Execute this utility only for those projects that you no longer want to track, bill, or report. To prevent the accidental deletion of data, restrict user access to this screen.

Do not use this process until you have reviewed the project information and are certain that this information is no longer needed. To provide an audit trail, archive this information before purging.
