Change Log Added for Accounting Years and Periods

WorkBook now records a change log for changes to accounting years and accounting periods. Each entry captures what changed, when it changed, who changed it, and the old and new values.
Accounting years and accounting periods are maintained in Finance & Administration » Month end » Accounting periods. You review the change log by generating Report 436 from Finance & Administration » Administrative follow-up » Changelog or General Ledger » General Reporting.
Note: The change log entries are only visible in the generated Report 436 output, such as the PDF. They are not shown in the WorkBook grids or pages.
Fixed Asset Register

WorkBook now includes Fixed Assets in Finance & Administration.
You can use Fixed Assets to create and manage company fixed assets, including acquisition, depreciation, revaluation, disposal, and import of existing assets. Fixed Assets is integrated with the general ledger so that related financial postings are created automatically.

Jobs
Jobs Module Navigation Simplification Using the Module Icon

The Jobs module icon
in the main menu now provides consistent, contextual navigation for the Jobs module. This update helps you return to the Jobs list from job pages without relying on in-page navigation controls.
This update includes the following changes:
- When you are in the Jobs module, clicking the Jobs icon takes you back to the Jobs list, the same as the Back to Jobs List button.
- When you are in another module, clicking the Jobs icon opens the Jobs module and shows the job page you viewed most recently.
- When you return to the Jobs list, WorkBook restores your most recent Jobs list view, including filters and grid settings.
- If you have unsaved changes on a job page, WorkBook displays the save confirmation dialog.
Improved Handling of Multiline Price Quote Resources When Copying to Schedule and Invoice

WorkBook now handles multiline-resourced Price Quotes more accurately when you copy them to a schedule or invoice.
When you copy a multiline Price Quote line to a schedule, WorkBook now creates one task for the quote line and assigns all listed resources to that task, instead of creating a separate task for each resource. This means that when multiple multiline Price Quote lines are copied, WorkBook creates one task for each quote line, rather than one task for each resource line. The copy dialog is also updated to reflect the actual number of tasks that will be created. In addition, if you change a task name in the copy dialog, WorkBook automatically keeps the related assigned resources in sync for the same task.
When you copy a multiline-resourced Price Quote to an invoice, WorkBook no longer creates a null resource line, and the transferred amount is now calculated correctly for multiline resource data. Materials, purchases, and any extra hour discount are placed on the first resource line, and contingency hours are distributed proportionally based on each resource’s booked hours, instead of being divided equally.

Resource Id Added to the Employee Settings Grid

WorkBook now displays a Resource Id column in the Employee Settings grid. This lets Administrators view each employee’s unique system identifier directly in the grid used to review and maintain employee settings.
This change improves consistency with the Resource grid, where the same Resource Id is already shown for employee resources. The column supports standard grid actions such as sorting, grouping, and exporting to Excel and CSV.
Scheduling
Keep Approval Status for Unchanged Manual Bookings When Task Dates Change

Changing a task’s start date or end date no longer resets approval for manual bookings that remain within the updated task date range and whose hours do not change. These bookings keep their current approval state, such as Approved or Pending Approval. Automatic bookings, and bookings affected by hour changes or a move to a different booking period, can still reset.

External References for Price Quotes, Sales Invoices, Creditor Invoices, and Tasks

WorkBook now supports External References on Price Quote, Sales Invoice, Creditor Invoice, and Task records. This lets you store an External Key on these records so integrations can match WorkBook records to external systems.
Administrators configure External Reference setups in Settings » Advanced Tools » External Reference Setup. When configured, an External Reference tab becomes available on the supported records for entering and maintaining the external key.
Regex validation support is also enhanced, including the ability to test a regex pattern during setup and improved messages for validation failures and timeouts.

Description: When you used the Voucher Hot Folder Agent to process an invoice document and the PDF filename contained a + character, the agent did not pick up the file. As a result, invoice creation through OCR failed.

Description: When you processed invoices through Dela™ ICR, invoice lines could be translated unintentionally. WorkBook no longer translates invoice lines during Dela™ ICR processing.
Deltek Tracking: 2603735Dela™ AI Reads the Client CVR Number Instead of the Vendor CVR Number
Description: When you uploaded a creditor invoice that contained two CVR numbers, Dela AI could read the client’s CVR number instead of the vendor’s CVR number, which caused creditor lookup to fail. WorkBook now improves creditor identification by falling back to DebtorCvrNumber or DebtorTaxIdNumber when needed, and by removing two-letter country-code prefixes such as DK12345678 to use 12345678.

Description: When you booked a Credit Note for a PO linked to Creditor vouchers that exceeded the PO budget, the Settled and Remaining amounts in the PO footer were incorrect and did not match the values on the Cost Detail page. Specifically, Settled did not match Amount Spent on PO, and Remaining did not match Remaining Cost on PO. WorkBook now keeps these values consistent. A new 40 - Approved setting is also added to Company Variable 2.

Description: When you enabled both System Variable 1008 and Agent Type 164, job team access assignments were calculated incorrectly because no warning alerted you to their conflicting behavior.

Description: When you imported sales invoices through ad hoc import, ImpInvoiceAdd assigned incorrect invoice approval statuses. Invoices imported as Invoiced but Not Booked were set to Approved Externally instead of Invoiced, and invoices imported as Invoiced and Booked were set to Invoiced instead of Invoiced and Booked. WorkBook now assigns the correct status based on the imported invoice state.

Job Cost Views Can Double Count Purchase Orders and Creditor Invoice Lines
Description: In some cases, a Purchase Order and the Creditor invoice line(s) referencing it could appear to be counted twice in Job Cost views. This happened because the Creditor invoice had not yet reached an approval status that reduced the remaining amount on the purchase order.
To make pending amounts clearer, WorkBook now adds the following columns:
- Cost Pending Commitment in these cost views: Simple View - Activity Based on Cost, Summary incl. No. of Hours, Summary Based on Phase, and Planned vs. Elapsed Time and Costs
- Sale Pending Commitment in these cost views: Simple View - Activity Based on Sale, Simple View - By Age, Simple View - Task Based on Sale, Advanced View - Activity, Advanced View - By Age, Summary incl. No. of Hours, and Planned vs. Elapsed Time and Sales Value
WorkBook also adds these groupings in Costs - Purchase Order - Supplier Invoices:
- Committed Against PO Budget: Yes
- Committed Against PO Budget: No

WorkBook now uses higher rounding precision and distributes contingency hours proportionally based on each resource’s assigned hours, which aligns the calculation with weighted rates.
