Timesheet Hours Entry Table

Use the timesheet grid to enter all of your timesheet charges. Use the left pane of the grid to enter information about the projects, tasks, and so on, that you worked on during the timesheet period. Use the right pane to enter the number of hours that you worked on each project, task, and so on.

You can also enter timesheets in offline mode or using voice commands (Hey Deltek!). To learn more, see the following Learning Aids:

Timesheet Table Buttons

Use these buttons to perform line functions such as copying and deleting timesheet lines, performing queries, and switching between Form and Table views.

Field Description
Add Line

Click to insert a new line into the timesheet table. You can then use Query to look up the appropriate project or category (for example, leave or vacation) to which you want to charge your hours.

Copy

Click Copy to duplicate a selected record/line. You can then edit this record/line and save it as new data.

The Copy button is disabled when:

  • The timesheet is closed.
  • The current timesheet line is incomplete.
  • A supervisor without timesheet modification rights is viewing an employee's timesheet.
  • The timesheet has a Processed status and you are required to make  timesheet changes using reversal entries.

The Copy drop-down lists additional options, such as Copy Data to Insert into Excel, Copy Data to Paste Into New Record(s), and Paste Data.

Delete

Click Delete to delete the selected line from the timesheet.

If you have not yet saved the selected line, this completely removes the line, including any entered hours, line comments, or cell comments.

If you have already saved the selected line, Delete Line sets to zero any hours on the line that are not processed, sent, or part of a reversal. Cell and line comments are removed. When you save the timesheet, you must provide a revision explanation.

The Delete Line button is disabled when:

  • The timesheet is closed.
  • A supervisor without timesheet modification rights is viewing an employee's timesheet.
  • The timesheet has a Processed status and you are required to make  timesheet changes using reversal entries.
Form/Table

Click Form/Table to toggle between Form and Table views of your timesheet.

Query

Click this button to open the Query window.

Shortcut Menu Options

Right-click in the first column to display a list of options for editing the lines of the timesheet.

Field Description
Add Line to Favorites

Click Add Line to Favorites to add the selected timesheet line, including your line comments, to your Favorites list. In the future, you can select the line from the Charge Lookup instead of entering it from scratch.

The Add Line to Favorites button is disabled when:

  • The current timesheet line is incomplete.
  • A supervisor without timesheet modification rights is viewing an employee's timesheet.
Reverse Line

Click Reverse Line to copy the charge information and line comments of the selected line and add negative hours to offset the charges. When you save the timesheet, you must provide a revision explanation.

The Reverse Line button is disabled when:

  • The timesheet is closed.
  • The current timesheet line is incomplete.
  • A supervisor without timesheet modification rights is viewing an employee's timesheet.
  • The timesheet has a Processed status and you are required to make  timesheet changes using reversal entries.
Reset Line

Click Reset Line to reset the selected line to its previous values.

If you have not yet saved the selected line, this completely removes the line, including any entered hours, line comments, or cell comments.

If you have already saved the selected line, Reset Line reset the line to the previous values found in the database for charge information, line comments, cell comments, hours, rates, and amounts.

The Reset Line button is disabled when:

  • The timesheet is closed.
  • A supervisor without timesheet modification rights is viewing an employee's timesheet.
  • The timesheet has a Processed status and you are required to make  timesheet changes using reversal entries.
  • The timesheet has start and stop times and your timesheet class has Mode (for start/stop time entry) set to Breaks/Detail Work .

Left Pane

A vertical splitter bar divides the the left and right panes of the timesheet form. Use the vertical bar and the scroll bar at the bottom of each pane to adjust your display.

Timesheet Warnings

If you see a warning icon, some kind of warning was generated when you  saved or signed your timesheet. Click to view the warning.

  • Save warnings: The save warnings are a history of warnings received, some of which may no longer apply. If multiple saves generated warnings, the groupings are marked with ***.
  • Sign warnings: Sign warnings are cleared as soon as you save the timesheet.
Selection Check Box

Use the check boxes in the left-most column to select one or more timesheet lines. Then apply these functions to the selected lines: Copy Line, Delete Line, Reset Line, Reverse Line, or Add Line to Favorites. Some functions may not be available for certain lines.

You cannot select a line if you have any incomplete lines on the timesheet.

Line Comments

If you want to add a comment to explain a line, or edit an existing comment, click in the first column. Enter a comment of up to 4,000 characters.

If you saved a timesheet line without a line comment and you wish to add one, click in any hours cell for that line and the icon will display.

Line Numbers

The second column lists timesheet line numbers.

It may also display the line level approval icon if your company uses the line level approval feature.

Line Level Approval

If your company uses the line level approval feature., one of three icons may appear to the left of the line number. Click these icons to see more information or, if you have the appropriate rights, to approve or reject a timesheet line.

  • Approved: See the date and time that the line was approved and the name of the employee who approved it. Depending on how your timesheets are set up, you may also see the employee ID along with the name.
  • Pending Approval: See the functional roles and supervisors who have rights to approve or reject the line. The Charge Supervisors table shows the roles and employee names of those employees who have rights to approve hours charged to the primary charge on the line. Depending on how your timesheets are set up, you may also see employee IDs along with names.
  • Rejected: See the date and time that the line was rejected, the name of the employee who rejected it, and the reason for the rejection. Depending on how your timesheets are set up, you may also see the employee ID along with the name.

Remaining Columns

Use the remaining columns to enter the project numbers, charge numbers, or other codes that you use to identify timesheet charges. The Charge Description column always displays, but the other columns are chosen and set up by your system administrator to suit your company's business practices.

Click on a column to display the Search icon and view the lookup for the column. For example, if the column contains project numbers, use the lookup to find the correct project number.

You can speed up timesheet entry by setting up "favorites" for the charges that you use frequently. With favorites, you enter the codes for a charge line once and save them for future use. See the Set Up Favorite Charges help topic for more information.

You system administrator may also set up your timesheet to automatically load any holiday and scheduled leave hours for the timesheet period, based on your work schedule, when it loads favorites.

Field Description
Day Columns

The timesheet has a column for each day in the timesheet period.

Hours Cells

For each day, enter the number of hours you worked on each of the charges in the left pane.

You cannot enter hours for a line that has incomplete charge information. If you try, the following message displays: The timesheet line is incomplete. Please provide required information or reset line.

Note: If automatic calculation of overtime hours is enabled for your timesheet class, you can enter all hours worked as Regular, and Time & Expense will automatically calculate the portion of hours that should be distributed to an overtime pay type, when you sign the timesheet. After the timesheet is signed successfully, the Overtime Distribution subtask link displays on your timesheet. Click the link to view your overtime. If you are not sure whether or not your timesheet class is configured to calculate overtime, check with your System Administrator.

If your employee timesheet class has the proration feature enabled, hours will display as either Entered or Prorated, based on the toggle button at the top of the screen. See the Special Topic: Hours Proration help topic for more information.

If you have entered cell comments in an hour cell, the cell comment icon appears in the cell.  If you click inside an hours cell that does not already have a cell comment, displays so that you can add a comment.

The background color of an hours cell is determined by the type of day set up in your work schedule:

  • Blue: Selected day
  • Yellow: Holiday
  • Light gray: Non-workday or day with hours charged to a cost-only UDT10 code
  • Green: Scheduled leave

The text color of an hours cell depends on its status.

  • Blue: Processed hours
  • Red: Rejected hours
  • Green: Sent hours
  • Black : All other hours

The number of decimal positions that are displayed depends on how your timesheet is configured. Possible settings are:

  • Whole: No decimals are allowed
  • Half: One decimal is allowed, with .0 and .5 as the available options
  • Tenths: One decimal is allowed, with no further restrictions
  • Quarter: Two decimals are allowed, with .00, .25, .50, and .75 as the available options
  • Hundredths: Two decimals are allowed, with no further restrictions
Regular This row displays the total of all regular hours entered for that day. If automatic overtime calculation is enabled for your timesheet class, the total number of regular hours might be updated if overtime is calculated after you sign the timesheet.
Overtime This row displays the total of all overtime hours entered or calculated for that day. If your timesheet class is configured to automatically calculate overtime, the total will be adjusted to reflect the total overtime hours after the timesheet is signed. Hours entered on the timesheet as Regular will be automatically redistributed to overtime, and the total in Overtime is updated accordingly.
Total Hours

The total hours value displayed in the bottom right corner of the timesheet grid is a hyperlink. When you select it, you see a dialog box that summarizes the total hours by UDT10.
