Voiding a client receipt or credit memo

Voiding a client receipt that was already cleared

  • If you void a client receipt that is part of a deposit that was already cleared or reconciled, Ajera creates a new deposit entry on your bank register and displays the amount of the voided receipt in the Payments column. You can then clear and reconcile this entry on the appropriate bank statement.

However, if you want Ajera to remove the receipt amount from the deposit instead of creating a new payment, unclear the deposit before voiding the receipt.

Voiding a client receipt that is not yet cleared

  • If you void a client receipt that is not yet cleared, and there are other receipts on the same deposit, the deposit is adjusted to the balance of the remaining receipts.

If the receipt you are voiding is the only receipt on the deposit, a message appears giving you the option to void the deposit as well. Ajera then also marks the deposit as voided and cleared on your bank register.

Voiding a credit memo

  • If you void a credit memo, Ajera changes the invoice status in Manage Client Invoices from Write-off to Final.  

Credit memos are created when you enter a credit memo in Manage Client Receipts or when you write off a final invoice in Manage Client Invoices.

To void a client receipt

  1. From the > Manage menu, click Client Receipts.
  2. Click the Existing tab.
  3. To change the receipts that appear in the list, click (Change View) and make selections on the Change View window.
  4. Click the client receipt that you want to void or mark as having been returned due to nonsufficient funds (NFS), or click the credit memo you want to void.
  5. Click the Void/NSF button.
  6. If voiding a client receipt, select either Void or NSF.

If voiding a credit memo, only the Void option is available.

  1. Enter a write-off date.
  2. Enter any notes.
  3. If you selected NSF, select the NSF charge check box if any charge resulted from the NSF.

Ajera updates the bank register but does not add the charge to a client invoice.

  • Enter the amount of the NSF charge.
  • Enter any notes about the NSF charge.
  1. Click OK.
