Inactivating or reactivating an employee

When you no longer want an employee to appear on Ajera windows and reports, or be able to log in to Ajera, do one of the following:

  • Make the employee inactive
  • Terminate the employee

The way you reinstate information for an employee depends on the way you inactivate it:

  • If you made the employee inactive, you can reactivate the employee.
  • If you terminated the employee, you must rehire the employee.

You cannot simply reactivate an employee you terminated; you must rehire the employee. In this way, Ajera ensures that you have a record of both the termination and rehire date.

Ajera prints W-2 forms for employees if you paid them in the year they were inactivated or terminated.

Inactivate or terminate an employee

  1. From the > Setup menu, click Employees.
  2. Click the employee in the list, and click Edit.
  3. Do one of the following:

In the Status field, select Inactive.

Terminate an employee

  1. Click the General tab.
  2. In the Date Terminated field, type the date the employee was terminated.

Ajera changes the status of the employee to Inactive.

  1. Click Save.

Reactivate or rehire an employee

  1. From the > Setup menu, click Employees.
  2. Click the employee in the list, and click Edit.
  3. Do one of the following:

  1. Click the General tab.

  2. In the Date Rehired field, type the date the employee was rehired.

Undo a termination

  1. Click the General tab.

  2. In the Date Terminated field, highlight the date, and press the Delete key.

Ajera changes the status of the employee to Active.
