Journal Entry Tab

Use this tab to create journal entries to post to the General Ledger. You can also approve, finalize, and settle journal entries.

Use this pane to create and copy journals manually or by getting data from source files. You can also attach supporting documents, approve journals, and finalize them. If journal entries already exist, their information is displayed, and you can edit it.

Field Description
Click to create a journal entry. WorkBook adds a line for the entry in the upper pane and suggests values for several columns, but you can change those as appropriate.
Click to copy one or more selected journal entries in the upper pane. You can use the Shift and Ctrl keys to select multiple rows. WorkBook inserts the copies below the last row.
Click to delete one or more selected journal entries in the upper pane. You can use the Shift and Ctrl keys to select multiple rows.
Click to open the Get Sales Invoice Data dialog, which enables you to import sales invoice data and create a row using that data or use that data in the current row of the upper pane of the Journal Entry tab.
Click to open the Journal Entry Data Import dialog, which enables you to create journal entries using data from a source file such as an Excel spreadsheet, a comma-separated values (CSV) file, or a tab-delimited file.
Click to show or hide possible eliminations in the middle pane, or to show or hide the account summary in the lower pane.
Click to set the status of the selected journal to Under Preparation. This is useful if you have sent a journal for approval but realize that you need to do additional work on it. You can only do this if the journal is still open.
Click to approve the selected journal.
Click to finalize the selected journal.
Click to upload a file, for example, a supporting document like a PDF image of an invoice. You can browse to choose the file or drag and drop the file.
Click to open a file, if one has been uploaded and associated with the selected journal.
Click to open the Finance General Ledger Reverse Journal Lines dialog, which enables you to reverse the selected journal.
Indicates whether the voucher is in balance; 0 indicates balance. Any other amount indicates an imbalance. Every voucher must be in balance for total debits and total credits.
Indicates whether the journal is in balance; 0 indicates balance. Any other amount indicates an imbalance. Every journal must be in balance for total debits and total credits.
Indicates error(s) when vouchers and/or journals are not in balance.
or Indicates that journals are in balance or not in balance, respectively.
Booking Date Displays the date on which the journal entry was booked, if it has been booked.
Voucher No. Displays the number of the voucher that is related to the journal entry.
Attach a document to a journal entry line, or if one is already attached, open the attached voucher. If the icon shows an empty folder, no document is attached, and clicking the icon opens a dialog where you can attach a document. If the icon shows a folder that contains a document, clicking the icon downloads the document so that you can view it.
Voucher Date Enter or edit the voucher's date.
Comment Enter or edit any comments related to the journal entry.
Type Enter or edit the journal type based on the journal types created via Settings > Finance > Journal Types.
Account Enter or edit the General Ledger account where the entry is being posted.
Enter or edit the journal entry's currency.
Amount Enter or edit the journal entry's amount.
VAT Enter or edit the journal entry's VAT.

Amount - (currency) Displays the amount in the selected currency; the column heading indicates the currency.
VAT/Tax - (currency) Displays the VAT/tax in the selected currency; the column heading indicates the currency.

Journal No. Displays the name of the journal in which the entry appears.

Middle Pane

This pane is populated if there are any items that are available for elimination. While typically you would perform eliminations under Debtors or Creditors, WorkBook gives you the flexibility to perform them here if you prefer.
