Invite Attendees Email Dialog Box

When you schedule an activity on the Activities dialog box, you can use the Invite Attendees dialog box to send an email message that notifies the attendees of the date, time, subject, and purpose of the activity.

Location

To display the dialog box, complete the following steps:

  1. Select the Notify Attendees check box on the Attendees tab or the Contacts tab of the Activities dialog box.
  2. Click OK.

Field Description
To This field displays the email addresses of either or both of the attendees (employees) entered on the Attendees tab of the Activities dialog box and the contacts entered on the Contacts tab of the Activities dialog box.

Vision enters email addresses in this field based on the information entered in the Employee Info Center and Contact Info Center. If you have not yet entered an email address in the Employee or Contact Info Center for any of your activity attendees, you must manually enter the email address in this field.

CC Enter the email addresses of additional recipients.
BCC Enter the email addresses of additional recipients who are blind copied. Their names are not visible (in the To field) to the other recipients of the message.
Subject This field displays the subject of the activity that is entered on the Detail tab of the Activities dialog box.
Message The Message text box on the Invite Attendees Email dialog box displays the activity start date and time, and the appropriate client, contact, opportunity, or project name that is entered on the Detail tab of the Activities dialog box. Any notes that you entered on the Detail tab are also displayed.

You can edit the message information and add text. You can modify or add text directly in the Message section, or you can click Edit to use the Vision Text Editor to edit or add text.

Attachments Button and Grid Click the Attachments button if you want to attach a file to send with the email message. When you click this button, the Invite Attendees dialog box expands to display the Attachments grid. Use this grid to attach files to the email.
Attachments Drop-down Click the drop-down arrow on a grid header to complete any of the following actions:
  • To print grid data, click Print. When the Print Preview form displays, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into this field, in the sequence that you want them to display.

Not all options are available on all grids.

Insert Click this option to attach a file to the email message. The Windows Choose File dialog box displays; use it to select the file that you want to send. The file name and path display in the File column of the Attachments grid.
Delete Click the row in the grid that contains the attachment that you want to delete and click this option. The file is removed from the grid and is not included as an attachment when you send the email message.
File This field displays the name and path of the file that you selected (with Insert) to send with your email message.
Send Click this option to send the email message and close the Invite Attendees dialog box.
Cancel Click this option to close the Invite Attendees dialog box. An email message is not sent.
Help Click this option to display the help system.
