Exporting Data from Vision
To export data from Vision, you can print from Reporting, print from grids, use merge templates, or export data to Microsoft Excel.
Printing from Vision Reporting
Use the Print toolbar button to print records from Vision modules. This accesses the Reporting module, where there are a variety of options for printing reports.
- Vision provides default report settings. You can keep the default settings, or you can change the settings if you want to change the content or the layout of a report.
- You can use this feature to print multiple records at a time but you cannot filter records within a grid. For example, you cannot specify that you only want to view vendors with a specific role on a project.
- You cannot group by a column in a grid. For example, you cannot group the Projects grid on an Employee by Type.
- You have additional options that are not available when you print or export a grid directly from the grid. For example, you can choose which columns to include, and also additional information about the record.
- It takes longer to set all of the options in Vision Reporting. If you want to print the information in a grid as you see it on the record, it is faster to print or export it from the grid.
Printing from Vision Grids
Use the Grid Options > Print feature to print directly from a grid in the following situations:
- You can print data for any single grid located on a tab. This feature prints a list report directly from the grid and includes the grid's columns, groups, and filters. You cannot expand or collapse a group on this report because there are no additional options or formatting capabilities. For example, if you print the Employees grid for a record in the Project Info Center, only the employees for the current project will display.
- You can use the filter option on grids where the Enable Grouping option is available. Use the filter option to filter the specific grid data you want to print.
- While in the Info Center, you can use the View > Grid View option to list all Info Center records as a grid view.
Using Merge Templates
Use merge templates for multiple-use documents that incorporate data from resources other than the Vision database.
- Merge templates are the only format that are appropriate for proposal documents, such as resumes or project sheets.
- Merge templates have more formatting capabilities than the other options, and can use styles, tables, images, and any other features you can use in Microsoft Word. Also, you can add text from sources other than the database. For example, you can add labels and headings in a resume.
- Merge templates are designed for repeated use and are labor intensive to set up. If you want to print information on-the-fly for use one time only, use another type of print option.
- The merge templates are not available in all areas of Vision. For example, you can print or export a grid in the Transaction Center, but you cannot create a merge template for this application.
- You can print multiple records at a time, but you cannot filter records within a grid. For example, you cannot specify that you only want to view vendors with a specific role on a project.
- You cannot group by a column in a grid.
Exporting to Microsoft Excel
The grids in Vision include an Export to Excel feature that enables you to export the grid's information to a Microsoft Excel file. You can then use Microsoft Excel to modify, print, or email the data, and then save the file to your local desktop. Any grouping or filtering completed in the grid is also exported to Excel.
