Welcome to the Deltek Vantagepoint 4.0.5 Release Notes, which describe the new features and enhancements introduced in this release.
These release notes address all of the modules associated with Deltek Vantagepoint 3.0, some of which your firm may not use. Skip the sections that do not apply to your implementation of Deltek Vantagepoint.
AR Comments Dialog Box Improvements
Usability and performance-related improvements have been applied to the AR Comments dialog box in Hubs » Firms » AR Review and in Hubs » Projects » Invoices. The changes in this release include the following:
You can now use grid options to maximize the grid view, sort and organize columns, export grid data, and filter grid contents. These options may be especially useful when you review large sets of AR comments.
In Hubs » Firms » AR Review, Vantagepoint automatically filters the AR Comments dialog box according to the project that you select in the Accounts Receivable grid.
In Hubs » Projects » Invoices, Vantagepoint automatically filters the AR Comments dialog box according to the invoice that you select in the Invoices grid. Alternatively, you can enter and view AR comments for all projects associated with the current billing client of a selected project record.
Bill Through Date and Bill Through Period Now Affect Custom Reports
If you have a custom report saved to the Custom folder on the Vantagepoint application server, the Print Custom Report check box displays on the Invoice Creation tab in Billing » Batch Billing. This check box allows you to generate the custom report for each invoice in the Billing batch. Now, the entries that you make in the Bill Through Date field and the Bill Through Period fields on the Billing Session Options dialog box apply for the custom report.
Changes to the Draft Preview Tab
The user interface for the Draft Preview tab in Billing » Interactive Billing and Hubs » Projects » Draft Invoice Approvals has been updated. The functionality is the same, but the tab layout has changed, with some existing icons moved to new locations and a few new icons added. Some of the actions and steps for using the markup tools are a little different.

ICR Plugin Version Update
The Intelligent Character Recognition (ICR) plugin for this version of the Deltek Vantagepoint T&E mobile application has been upgraded to version 1.1.0.
Mobile Credit Card Expenses Video
A new Mobile Credit Card Expenses video tutorial link has been added to the Mobile Time & Expense User Guides for Android and iOS. The video shows you four ways to match credit card charges to expense reports in Mobile Time & Expense.

Paychex Client Number Now Supports 8 Digits
Paychex’s more recent product has an 8-digit company number. In line with this update, the following Vantagepoint fields now also accept 8 digits (previously allowed 7 digits only):
Default Client Number field in Settings > Accounting > Labor Options
Paychex Client Number field on the Accounting tab of Hubs > Employee > Employees
Company field on the Download PayChex TXT Format Files dialog box in Payroll > Export to Pay Interface
Paychex Client Number field on the Units & Payroll tab of Settings > Organization > Individual, in the desktop application
New Refresh PIM Web Service Button Added
Launched in Vantagepoint v4.0.2, the Refresh PIM Web Service button has been added to the Setup tab of the Project Information Management form in Utilities » Integrations » PIM.
If you are a Vision CRM user and have just recently been migrated to the latest Vantagepoint instance, you can use this button to convert existing PIM Enquiry Records into PIM Project Records.
After you complete the refresh process, you can view the attached documents that were originally in the Vision opportunity records in the converted Vantagepoint project records (in the Projects hub).
The Refresh PIM Web Service button is visible in Vantagepoint when:
Your Vision 7.6 database has an active integration with PIM.
Your Vision opportunity and inquiry records are synced to PIM.
Vendor Field Changes
The Vendor field in Transaction Center » Transaction Entry » AP Disbursements and Transaction Center » Transaction Entry » AP Vouchers now displays the vendor name and vendor number after you select a vendor for the transaction record.
Defect 1454381: If you set the Use Files To Group Transactions option to No in Settings » Accounting » Transactions, you sometimes received the following error message when you tried to do a Final run in Intercompany Billing: "Violation of PRIMARY KEY constraint 'laControlPK'. Cannot insert duplicate key in object 'dbo.laControl'."
Defect 1472340: When you generated transactions using the Final run type in Interactive Billing, you received the following error message: "Violation of PRIMARY KEY constraint 'APControlPK'. Cannot insert duplicate key in object".
Defect 1482109: A scheduled batch billing run failed, as indicated in Utilities » Process Server, with error "Empty Path Name is not Legal....." This occurred if the following applied:
In Settings » Billing » Options, the Store PDF of Final Invoice and Use Markup on Draft Invoices options were both set to Yes.
The billing terms for an invoice's project had the Print Invocies with Zero Amount Due check box cleared.
In Batch Billing, the Draft and Submit (Invoice for Approvals) option was selected and Include Invoices with Zero Amount Due was set to Billing Terms.
Defect 1423596: On the Labor, Expenses, or Billing tab of the Interactive Billing form, when you selected multiple rows in the grid you were unable to change the status (Bill, Hold, Write-off, Delete, Modify or Transfer) for a subproject of a billing group.
Defect 1455289: On the Billing Session Options dialog box in Interactive Billing, the Bill Through Period field displayed an invalid period (0/2021) by default.
Defect 1473869: When you submitted or resubmitted a project, you received an error message. However, when you clicked OK to close the error message, the project was submitted or resubmitted as normal.
Defect 1480928: If you voided an invoice, reissued that invoice using the same invoice number, and then tried to void it again, the void failed and you received this error message: "Violation of PRIMARY KEY constraint 'InvoiceVoidPK".
Defect 1485836: When two or more users were on the same payments form and then posted the same payment run record, the payment run got posted multiple times. The affected payments forms were:

Defect 1470838: This issue occurred when you did the following:
In Transaction Center » Transaction Entry » AP Disbursements, you created and posted an AP disbursement transaction using a credit card.
When you navigated to the Charges tab of Cash Management » Credit Card Reconciliation and selected the Include Missing Charges from Prior Statements check box, this AP disbursement amount displayed in the Posted Amount field.
You created and posted a second AP disbursement transaction using the same credit card.
When you returned to the Charges tab of Cash Management » Credit Card Reconciliation, the Posted Amount value was not equal to the sum of the two transactions.
Defect 1442810: If you set up an automatic payment process with more than three vendor types selected in Vendor Type, some vendors that should have been included based on those vendor types were incorrectly excluded from the payment run.
Defect 1465896: In some cases, if you set up an automatic payment process and searched for vendors in the Vendor Selection field based on a user-defined field, the search returned the correct list of vendors on the Vendor Name Lookup dialog box. However, when you then clicked Create New Run on the Vendor Payments form, the selected vendors were not listed in the Vendor Balances grid.
Defect 1454572: The context-sensitive online help for the Employee Labor Detail report incorrectly displayed the help topic for the Employee Labor Audit report.
Defect 1452685: This issue occurred on the Address dialog box in the Contacts hub and on the Location dialog box in the Projects hub. In both hubs, the drop-down list in the State/Province field did not display the selections based on the order that you specified for a country in the State/Province list in Settings » Labels and Lists » Lists.
Defect 1487267: This issue applies for a hub when the Numbering form in Settings » Workflows » Numbering was configured with the following settings:
Auto numbering was enabled for the hub.
The Auto Number Source was set to Stored Procedure.
In Auto Number Format, the stored procedure used the "(CreateUser, ModUser)" expression in the SQL statement.
When you created a new record in the affected hub, you received the following error message: “Conversion from type ‘DBNull’ to type ‘String’ is not valid."
Defect 1441606: You were able to disqualify a contact even if your role had read-only permissions for contact records.
Defect 1485151: You could not add a project to a grid in the Employees hub unless there was a value in the Role column.
Defect 1485223: In the Equipment hub (in the desktop application), the Amount column in the Acquisition Cost grid of the GL Cost tab displayed a value based on the voucher's transaction currency instead of the functional currency. This issue occurred if:
You have the Asset Management application activated.
The voucher for the asset was posted in Transaction Center » Create Voucher from PO (in the desktop application).
Defect 1473604: When you entered a value in the Bank ID field, any preceding zeros were truncated. When you checked the direct deposit file, the same incorrect Bank ID information was reflected.
Defect 1476922: This issued occurred with invoices that you processed via Interactive Billing. In the Firms hub, the Preview icon and the Invoice on File and Editing check marks were not displayed for the invoices.
Defect 1487878: If you selected French (Canada) as the language option when you logged in, the Service type of the Purchase Orders tab was incorrectly translated to "Code de main-d'œuvre de Niveau 1."
Defect 1479010: Projects that you linked to marketing campaign records were not saved when you navigated away from the Marketing Campaigns hub. (You then had to link the marketing campaigns to project records in the Projects hub.)
Defect 1466279: On the Fees tab of the Billing Terms form, when you copied a project that had fee billing phases, the Billing Phase Category grid should have displayed the values as 0.00 in the Percent Complete and Fee to Date fields.
Defect 1477823: You received an error message that read "Record <Project ID> already exists and cannot be added." This issue occurred when you did the following:
You created a project with three work breakdown structure levels (a project, phase, and task).
You navigated to the Billing Terms of the project and set the Fee Method option to either Percent Complete by Phase, as Fixed Amount or Percent Complete by Phase, as Percent of Fee.
In the Fee Billing Phases grid, you selected the Enable Posting by Billing Phase action and populated the Phase and Task fields.
You saved the record.
Defect 1474751: When you clicked Summary » Show Budget at Billing on the Actions bar of the Budget form, duplicate Reimbursable Allowance, Reimbursable Consultants, and Reimbursable Expense columns were displayed on the Billing Summary dialog box.
Defect 1452495: When you tried to filter the details in the Direct Labor column of the Contract Details grid on the Contracts tab, the filter function did not work.
Defect 1464736: If Vantagepoint is set up to maintain an audit trail for the Projects hub and you changed the value in Contract Number on the Contracts tab of the Contract Management form, the audit trail detail information for that change was not correct. Instead of just a contract number change, it indicated that all of the amount fields for that contract changed from one contract number to another, with no changes to the amounts. The from and to contract numbers were not shown.
Defect 1472623: On the Contract tab of the Contract Management form, the amounts that you entered in the Direct Labor and Direct Expense fields reverted to zero when you navigated away from the record. This issue occurred when, in Screen Designer, the Contract Details grid on the Contract tab was set to Locked for your security role.
Defect 1450852: The Invoices grid correctly displayed only invoice data as of the ending date of the currently selected accounting period, but the amounts on the Aged Accounts Receivable chart above the grid incorrectly included invoices and payments dated later than that period end date.
Defect 1467138: This issue occurred when you set the Digit Grouping Symbol to "(none)" on the General tab of the My Preferences dialog box. In the Invoices grid on the Invoices form, amounts included the word "NONE" as a delimiter instead of displaying without delimiters.
Defect 1468891: In the Invoices grid, the Days Out column displayed values even when the invoice had no amount in the Amount Due column.
Defect 1477246: In some cases, if you saved baseline plan amounts for expenses or consultants and later changed the plan dates, those baseline amounts disappeared.
Defect 1484648: On the Plan form, when a project that you created from a template had lower levels in the work breakdown structure (WBS), the value in the Labor field at the project level (WBS1) was double the amount displayed at the lower levels.
Defect 1424939: If your only activated module is CRM or CRM Plus, in some cases Vantagepoint incorrectly displayed the following error message when you tried to change the stage for a project from an In Pursuit or Lost stage to a Won stage: "You cannot change the stage of this project...because it is approved for use in processing."
Defect 1464482: If you created a project with a stage that is not a Won stage and then you added lower-level elements to its work breakdown structure (WBS) using either another project or a project template with a Won stage, the lower-level elements were incorrectly added with the Approved for Use in Processing check box selected by default. That check box should not be selected if the project to which the WBS elements are added does not have a Won stage.
Defect 1464745: If Enable Reporting at Burdened Rates was selected on the Labor Options settings form (Settings » Accounting » Labor Options) and you selected Include Overhead on the Options dialog box for Project Review, the amount in the Budgeted Burden column for Total Labor incorrectly included additional overhead. An additional overhead amount should never be added to budgeted burden because by definition the budgeted burden amount should already include overhead. In addition to this calculation correction, the Include Overhead option has been changed to Include Cost and Overhead Instead of Burden to clarify its purpose.
Defect 1464927: When you created a new Mobile CRM user-defined field in Screen Designer and assigned it to a new or existing section without any assigned fields, only the title of the section was displayed.
Defect 1488634: You were not able to search for and add a project in your mobile timesheet when your user role did not have access to the Projects hub.
Defect 1409629: On the Approval Center form, you were able to display absence requests from all employees even when the following options were set for your role on the Record Access tab in Settings » Security » Roles:
In the Approval Workflow Record Access grid, your access to the Absence Requests application was set to Apply Employee Record Level View Access.
Your record level view access to the Employees hub was limited to specific employees.
Defect 1485749: When you scrolled to the bottom of the grid to display more records and then approved those records, the newly-approved records were not removed from the grid.
Defect 1449055: Values in the unbilled columns used the project currency code when they should have used the billing currency code. This issue occurred if:
You included columns with the unbilled label in the dashpart.
You applied a presentation currency to the dashpart on the Presentation Currency dialog box.
Defect 1451843: The Pipeline system dashpart displayed incorrect values in the Estimated Fee, Weighted Fee, and Total Compensation fields. The remaining or previous days of the current month were not included in the calculation of those values.
Defect 1475499: This issue occurred when you configured a drop down type user-defined field without selecting the Limit Entry to Values List option on the Field Settings dialog box in Screen Designer.
When you included the user-defined field as a column in a dashpart, the column displayed no values.
Defect 1452691: When you opened an expense report and tried to edit or delete the saved search options, there were no saved search entries when you clicked Save Options.
Defect 1466253: When you upgraded Vantagepoint to 4.0, the newly added Merchant Description fields in expense reports with a status of Posted, In Progress, or Paid were not populated with merchant description values from existing credit card transactions.
Defect 1365669: This issue occurred when you configured an Income Statement report to display organizations based on your configured search preferences. When you saved the Income Statement report as a favorite report, the organizations that you had selected were changed.
Defect 1377450: In the Income Statement report options, the Account Number Rollup options that you set were not applied to the report if you did not select the Account Subtotal check box.
Defect 1377609: When you tried to send a report via email, the message used the default sender's email address (specified in Settings » General » Communications) instead of the email address of the currently logged-in user (employee).
Defect 1399589: In Project reports, values from numeric type user-defined fields were not displayed at the project level of the WBS in the reports. The values were displayed correctly at the phase level.
Defect 1399932: When you selected the Presentation Currency option for the Project Hit Rate report, the estimated and weighted revenue columns were blank on the report.
Defect 1404053: This issue occurred when you had a user-defined field of the drop-down type in the Projects hub. When you selected the Include User Defined Fields check box in the Project Detail report options in My Stuff » Reporting and you ran the report, the code was displayed instead of the value that you selected for the user-defined field in the Projects hub.
Defect 1415248: The Expense Summary report displayed account types (such as Direct Expenses, Reimbursable Expenses, and so on) for every account, instead of displaying them as headings under a project, phase, or task number.
Defect 1421375: When you set the Voucher Schedule report to be grouped by Primary Specialty, no data was displayed for the grouping when you ran the report.
Defect 1431904: This issue occurred when you set up the Project Forecast report with grouping by the Promo. Project Name and set the currency to Billing Currency or Presentation Currency. When you ran the report, you received the following error message: "An error has occurred during report processing. (rsProcessingAborted) Query execution failed for dataset 'ReportDataset'. (rsErrorExecutingCommand) For more information about this error, navigate to the report server on the local server machine, or enable remote errors."
Defect 1467864: On the Columns & Groups tab of report options for the Contract Management report, you were not able to enter start and end dates in the From and To fields of standard columns that included the word "Custom" in their names.
Defect 1473340: When you searched a user-defined field in the Project List report, you received the following error message: "You do not have access."
Defect 1473432: This issue occurred when you configured the Labor Detail report with the following settings in the Grouping & Sorting section on the Columns & Groups tab of the report options:
Three of more groupings were added to the report.
The Collapse/Expand option was set to Collapsed or Expanded for all the groupings.
The generated report displayed the collapse or expand function to the last grouping instead of all groupings. If you had five groupings in the report, the collapse and expand function was not displayed for the first four groupings, but was displayed for the fifth grouping.
Defect 1474248: If you selected the Recap by Account check box in the Cash Receipt report options, some general ledger accounts were not displayed on the last page of the report.
Defect 1478137: This issue applies to Project reports for which you can set the Time Frame report option to Date Range. When the date that you entered in the Starting field was later than the date that you entered in the Ending field, the following issues occurred:
You did not receive an error message and you were able to run the report.
When you modified the dates, the report still displayed the previously entered date range.
Defect 1478490: This issue occurred for the Project Hit Rate report after you added a user-defined field to a grid on the Columns & Groups tab of report options. When you ran the report, you received the following error message: "An error has occurred during report processing. (rsProcessingAborted)" is encountered when running a report UD field in Columns grid and Activities in Grouping and Sorting grid."
Defect 1478690: When you generated the Voucher Ledger report, it displayed records that should have been excluded based on the search criteria set for the report. This issue occurred if you did the following:
On the Groups tab, you selected 1099 Required as one of the columns to be included in the report.
You created a new search to include records that had the 1099 Required option selected.
Defect 1478883: When you ran the Project List report and selected on Any Level in the advanced search to filter project records, the report did not filter correctly; it included records outside of the search scope.
Defect 1481378: This issue applies for the Labor Resource Planned and Actuals report. When you included Project Name, Phase Name, or Task Name on the report, the following occurred:
The report showed duplicate entries; one row displayed the project, phase, or task name, and the other row did not.
When you exported the report, the planned and actual amounts for a task incorrectly displayed in two separate lines rather than one line.
Defect 1481978: When you migrated from Vision to Vantagepoint, you received an error message when you ran a favorite Income Statement report. This issue occurred when the legacy report in Vision used colors that were not compatible with hex values in the format required in Vantagepoint.
Defect 1485419: This issue occurred when you sorted by Employee in the Columns & Groups tab of the Labor Resource Planned and Actuals report's settings. When you generated the Labor Resource Planned and Actuals report, no actual amounts were displayed for each of the employee's projects. Only the total actual amount was displayed in the employee row.
Defect 1488993: When you generated the Labor Resource Planned and Actuals report, only one generic resource was displayed on the report. This issue occurred when:
You configured multiple generic resources on the Labor tab of Hubs » Projects » Plan.
You selected the Generic Resources option, in the Report Details section of the Options tab for the Labor Resource Planned and Actuals report options.
Defect 1441557: This issue occurred on the Project/Phase/Task Lookup dialog box. In some instances, when you clicked different phases (WBS2) multiple times, the tasks (WBS3) did not display and refresh accordingly.
Defect 1459625: An active employee with access to all companies was able to create and submit a timesheet on behalf of a terminated employee.
Defect 1420734: When you opened some Payroll Journal reports, you received the following error message: "An error has occurred during report processing.(rsProcessingAborted) Cannot read the next data row for the dataset ReportDataset. (rsErrorReadingNextDataRow)...."
Defect 1485331: In the desktop application, you were unable to save a purchase order record. You did not receive any error message to explain the cause. This issue occurred when you added clauses and, without entering information in one or more required fields, moved on to another clause type.
Defect 1481325: In the desktop application, when you ran the Open Purchase Orders report and the Overdue Item Only check box was selected on the General tab of the report options, the report excluded the QTY Accepted column. This occurred when a WHERE clause excluded received records and the accepted quantity was equal to the ordered quantity.
Defect 1404738: This Advanced Search issue occurred when you applied the Does Not Contain operator to filter the Organization - Phase (WBS2) and Organization - Task (WBS3) fields on project reports. When you ran the project report, Vantagepoint did not return the correct results.
Defect 1483265: When building an advanced search, if you added two fields with different organization levels and clicked Other Actions » SQL Where Clause, the SQL Where Clause statement had a set of parentheses in the wrong position.
Defect 1481600: In some cases, if multiple updates were being made to billing settings within a short period of time, you temporarily experienced slow performance when trying to use Interactive Billing or Batch Billing.
Defect 1483564: When you tried to modify a tax code that has a non-recoverable portion on the Tax Codes form, you received this error message: "ERROR - Project type is invalid."
Defect 1479254: This issue occurred if your role has limitations selected in the Record Level View field for Account Group Tables. You specify this in the Application Record Access grid on the Record Access tab of the Roles form in Settings » Security » Roles. When you tried to access the Accounts form, you received an error message.
Defect 1486202: When analysis cubes were set up for your Vantagepoint Intelligence database, you were unable to view any dimensions and measures in the General Ledger data cube.
Defect 1462287: If your only activated modules are CRM, or both CRM and CRM Plus, the Estimated Fee settings form (Settings » Project » Estimated Fee) was not available in the Navigation pane. In addition, the Estimated Fee form in the Projects hub was incorrectly named Contract Management.
Defect 1453997: When you copied an existing workflow, the conditions of the newly created workflow had no value.
Defect 1484688: An employee submitted a timesheet but the timesheet status remained In Progress. This issue occurred when the timesheet lines did not meet the conditions that you specified in the workflow steps in Settings » Approval Workflows (in the desktop application).
Defect 1466788: When you tried to copy an existing workflow using the Copy-Create Change Workflow option, you received the following error message: "Required fields, data must be entered."
Defect 1487796: This issue applies if you are an approver of AP invoices. When you tried to reassign an AP invoice approval to another employee, the To field on the Change Assignment On Current Step dialog box should have displayed all valid employees, even when your role had limited record level access set for the Employees hub in Settings » Security » Roles.
Defect 1486434: This issue occurred on the AP Vouchers form when you clicked the Reverse All option (Other Actions » Copy/Reverse Lines) to apply to all line items in the AP Voucher file. When you tried to save the AP voucher, you received the following error message: "Error row 1: Voucher numbers must be between 0 and 0."
Defect 1465400: When you saved a cash receipt file in a single-currency database, the bottom row of the Project Information grid displayed "Calculating..." instead of the total amounts.
Defect 1491003: On the Cash Receipts form, if you had multiple detail lines in the Project Information grid and you changed the bank code, you received an error message when you clicked Save.
Defect 1465046: If you created a new project by importing the project data and that data included an invalid value in the Allocation Method field, the import process failed to detect that invalid value and successfully created the project. If you then tried to add another project based on that imported project, you received the following error message when the Edit Project Structure form displayed: "The given key was not present in the dictionary."
Defect 1470834: In the desktop application, when you revalidated comma separated values (CSV) files that contained employee records and selected the Allow Updates option on the Main tab, no EmployeeCustomTabFields records were created for the new employee records. This issue occurred if you were working in a single-company database.
Defect 1473455: In the desktop application, invalid records were imported into the Project table. This issue occurred when the ChargeType field was not included in the mapping for the import.
Defect 1476774: You were not able to select the Activities table type in the Table Description field on the Main Tab of the Import Utility form (in the desktop application). This issue occurred if the CRM Plus module was not activated in Settings » General » Modules (in the browser application).
Defect 1489179: The Desktop Imports utility was incorrectly requiring that revenue methods be mapped for project imports using the Allow Update option.
Defect 1428068: When you ran the key conversion utility for Project Organization, you received an error message indicating that assets were associated with the organization, even when the project's phase never had assets associated with it.
Defect 1460656: When you entered a number in the Select process from the past number of days field, the Queue Processes grid showed processes from a number of days exceeding the value that you specified.
Defect 1480337: Resource Utilization Alert jobs failed when the AssignmentID field contained values with apostrophes.
Defect 1484731: When you used the Undo Posting/Recreate option for timesheets, the status of the affected timesheets was still set to Posted. The status of the timesheets should have changed based on the following:
If the approval workflow is not enabled, the status should be Submitted.
If the approval workflow is enabled, the status should be Approved.
Defect 1419724: When you ran the Project Closeout utility on a published project, you received the following error message: "The following plans are not published. These plans must be published before you can continue combining Projects. Plan xxxxxx.xxx : Project Closeouts Tasks is not published."
