Staff Scheduler Fields and Buttons

Use the fields and buttons on the Staff Scheduler to view staff calendars and schedule employees.

Field Description
Staff Group If you have attributed staff user groups to your staff members, you can filter the calendars that are available to view by staff group.

When you select a group, the staff tree view displays only the locations, departments, and staff from that group.

The group names are created and listed in Admin > List Management; then you can use Admin > Company Management to assign staff members to one or more groups.

Open/Close Tree Click to open or close all staff folders in the staff tree view.
Staff Tree View Use the staff tree view to select the employee whose calendar you want to see. The tree structure consists of Locations, Departments, Staff.

To select multiple calendars, hold SHIFT or CTRL on a Windows-based computer when selecting the employees or SHIFT or CMD on a Macintosh. The calendars are displayed one below the other. You can use your mouse wheel or the vertical scroll bar (if you select Scrollbars) to scroll up and down within each calendar.

Click to zoom in/out of the calendar grid to see more/less of the day.
Click to display today's date in the calendar grid for the selected employee.
Click to display one, two, three, or four weeks in the calendar grid.
Use the icon to select a specific date or use the arrows to scroll forward or backward in time.
Click to view all the intervals of one task allocation as a group and move (or delete) all of them together.
Click to display only working days, typically Monday through Friday. Deselect this option to display both working and non-working days.
Click to use a vertical scrollbar on the calendar grid to scroll up/down within a calendar. This is helpful when you are viewing multiple calendars and allocating outside standard working hours.

If you do not select this check box, you can use your mouse scroll wheel to scroll up/down in the grid.

Calendar Grid The calendar grid displays the tasks to which the selected employee has been assigned.
  • Tasks in yellow are non-job/task-related booked time, such as a client meeting. If calendar synchronization has been enabled, the grid displays meetings and appointments created/accepted locally in Outlook or Gmail.
  • Tasks in red are allocated tasks that are pending approval.
  • Tasks in green are allocated tasks that have been approved.
  • Purple entries are milestones that are aligned to that employee at that time.
Select a task in the calendar grid, then click this button to remove that task from the selected employee. It now shows up in all "unscheduled" lists.
Select a task in the calendar grid, then click this button to split the task into two separate allocations. When you click the button, TrafficLIVE displays the Split Allocation Interval pop-up, and you can specify the duration for each split.

You may want to do this if the task will not be completed all at once, or if you want to split the task between multiple employees. For example, you may need to complete one hour today and one hour tomorrow.

Click to approve all visible tasks in the calendar grid.
Click to revert any changes that you made to the calendar since the last save.
Click to save changes that you have made to the calendar.
When you click this button, all allocations are updated, and notifications are sent to each allocated staff member for any work allocated or changed within the next seven days.
