Add Line Items to a Quote

After you have created a quote, you add line items to represent the specific work that the quote covers.

You can add line items of the following types to a quote:
  • Fee — TrafficLIVE bills the amount estimated, regardless of the time that you spend. This is how most businesses quote/bill. For example, you estimate that a piece of work will take 10 hours at $100, a total of $1,000. TrafficLIVE bills $1,000 (unless overridden), regardless of whether you log 5 hours or 25 hours.
  • Purchase — Services or items that are generally procured after creating a purchase order (PO); these are bought from a supplier/vendor.
  • Expenses — Items that are bought without a purchase order, such as images, travel, and meals.
  • Time — TrafficLIVE bills for the actual time spent. For example, you quote 5 hours at $100 hours for changes. If you spend 2 hours, TrafficLIVE bills 2 hours; if you spend 10 hours, TrafficLIVE bills 10 hours.

To add line items to a quote, complete the following steps:

  1. Do one of the following:
    • Use the Quote Search page to find and display a quote on the Quotes page.
    • Create a quote and display it on the Add/Edit Quote page.
  2. Click Plus at the bottom of the page.
    Tip: Alternatively, you can double-click in the blank space that would be a line in the data grid.
    A line item is added to the quote's data grid. TrafficLIVE assigns a line number to the line item to make it easy to refer to the line. Default values are provided in the columns:
    • Type defaults FEE. You can change this to one of the other valid types—Purchase, Expense, or Time—as appropriate, by clicking in the column to use the drop-down that appears.
    • Charge Band defaults to the first charge band (alphabetically) in the list of charge bands that the TrafficLIVE administrator has defined for each of the line item types. You can change this to one of the other charge bands by clicking in the column to use the drop-down that appears.
    • Qty (quantity) defaults to 1. Click in the column to enter a different value.
    • Cost, Markup %, and Rate default to the values that are set for the default charge band for the selected line item type. You can click in the columns to enter different values if you want to override the values that are associated with the charge band.
    • Total displays the result of multiplying the values of the Qty and Rate columns.
    • Tender ID displays a tender ID if a Purchase type line item is linked to a tender.
    • Realization % displays a realization percentage for each time-related line, which is calculated as a comparison between your currently selected rate and the value of the default rate, shown as a percentage. If you are using default rates, all realization values are displayed as 100 (percent).
  3. Click in the Description column to enter descriptive information (optional).
  4. Click Comment in the Note column to enter additional information in the Notes dialog (optional). This might be client-facing, depending on how your output quote template has been designed. This note field only applies to the line that you have selected. If additional notes are needed on other lines within a quote, you must click this icon on each line.
  5. Select the Ex. from Quote check box to prevent this line item from appearing on the printed output of the quote (optional). The value is not excluded from the total at the bottom of the page, and any excluded lines are included in the job if you convert the quote to a job later.
  6. Select the Optional check box to group this line item with other line items that also have this check box selected (optional). These line items and their figures are printed together as a group, separate from the rest of the line items on the quote.
