Create a Scheduled Slot Interview

You can schedule multiple interviews within a span of time, using designated time slots.

Each candidate is asked to select a specific time slot.

  • Talent Management automatically populates the Available Slots field after you enter parameters in the Slot Length field and in the From and to time range fields.
  • The Claimed Slots field updates after a candidate chooses a time slot and that time slot is no longer available for other candidates to select.

To create a Scheduled Slot interview:

  1. On the Talent Management toolbar, click the Calendar icon and then click My Calendar.
  2. On the My Calendar screen, click the Add Event tab.
  3. In the Event Name field, enter a descriptive name.
  4. If the event is already complete, select the Completed option.
  5. Set the Type option to Interview.
  6. Set the Interview Type option to Scheduled Slots.
  7. In the Slot Length field, make your selection from the drop-down list and set the time range in the From and to fields.
    Time slots range from 10 minutes to 4 hours.
    The Claimed Slots field and the Available Slots field are automatically updated.
  8. Specify the date, start time, and end time of the event.
  9. Add multiple Schedule Slot dates by clicking Add Another Date and repeating steps 7 and 8.
    Attention: Multiple day events will not sync correctly if you use the automatic MS Outlook Sync Utility to sync your events. This is because Outlook does not support this advanced feature.

    You can still export each individual block/day to Microsoft Outlook by clicking the Outlook button for each event.

  10. If you want to set an Event Color Code, click and make your selection.
  11. In Location, enter the location at which the event is scheduled to take place.
  12. To receive a reminder for the event, set the Notification option to one of the following:
    • E-mail: Select this to receive the notification via email.
    • Pop Up Window (if on site): Select this to see a notification on the Main Dashboard each time that you log in.
    If you do not want to receive a reminder, leave the option set to None.
  13. If you do not want the event to be visible to others even when your calendar is shared, select the Keep Event Private check box.
  14. In Event Description, enter a short description of the event, task, or reminder.
  15. To attach a file to this event, use the Attachments option to select a file from the Document Library List or upload a document by selecting a file, entering an attachment name and description, selecting who to share the attachment with, and clicking Save.
  16. To share or unshare the event, use the Share this event with option to complete one of the following actions:

    Share the event with others on a specific team Select a team from the list provided and/or use the Select an employee button to search for users.
    Share the event with people from more than one team Hold down the CTRL key while you select multiple teams and then click the plus icon.
    Remove users from the event Click the Select an employee button and delete the individuals from the Current Selection listing.

    To remove one or more teams, hold down the CTRL key, click the teams, and then click the Delete icon.

  17. Click Save.
