Use a Request Change to document a proposed cost and/or schedule change. It includes the impact, any additional details about the change, and a link to an estimating spreadsheet.
The default data uses a two-step process for this change management type to be submitted. This requires the originator (for example, CAM) to start the workflow steps and submit the change request. This process allows a rejected Request Change to be assigned back to the originator. In other words, if the PCA receives and rejects the change request, the CAM becomes the assignee. After the CAM is again the assignee, the CAM can modify anything on the form before resubmitting it.
If the originator does not submit the change request, the PCA is not notified nor are they able to approve the Request Change.
Tip: If users have difficultly remembering to submit the change request, you can create a scheduled alert to look for Request Changes in step 1 and then send a notification reminding the originator that the change request must be submitted for approval.
After you have confirmed the form and workflow steps for both the Request Change and the Approve Change types, you can modify the workflow of the Request Change type to include a create workflow step action on the last step. This automatically creates the Approve Change and copies any standard and custom fields to the new change request, which includes the change number and the Proposed Change if it is a custom field. You should also insert a new step 1 on the Approve Change type to include a step that is assigned to the PCA with an In-Progress status of New. This allows the PCA to update the Budget Details grid and select the correct cost set before submitting the change request to the CAM for approval.
See Automatically Create an Approve Change for steps.
When you create an Approve Change, you can link the Request Change to it using the Related Workflows tab. Anyone reviewing and/or approving the Approve Change can click the Related Workflows tab and see the Request Change.
All workflow categories in PM Compass share a common form toolbar.
