Delegation Example
The Delegation feature enables you to assign workflow tasks to delegates in your absence.
You set up and maintain delegations on the General tab of the Preferences screen, which includes the following options:
- Add delegates to select employees that you want to receive the tasks of the functional role selected in the Delegating Role column.
- Delete delegates to remove them from the recipient list of delegated tasks.
- Set a delegating role for supervisors and set the group that will be delegated.
- Set the Start Date and End Date when the individual selected as Delegate will start receiving your tasks.
- Activate delegations.
Let us say you have a functional role of Primary Supervisor over the Group ABC and Group XYZ employee groups. You also have a functional role of Backup Supervisor over the Group 123 and Group 456 employee groups. If you select Primary Supervisor in the Delegating Role column, you will see groups Group ABC and Group XYZ in the Group drop-down list but Group 123 and Group 456.
Both you and your delegate will receive notification through Workflow that a task is due. If the delegate performs the task, the task is removed from both your list of tasks and your delegate’s list of tasks.
You can set up delegations for a long period of time and make them active when needed and make them inactive when you return. This is useful if you have several short periods when you will be unavailable to perform your tasks and want to use the same delegates each time.
