Storing Schedule Change Request Data

When a change request involves adding activities to the schedule, or other changes, such as the addition of resource assignments or changes to relationships, are made in the Change Details view, the Open Plan source project is not updated until final approval. Changes to an activity or activity resource assignment are stored in the View Summary table.  You can see activity changes by clicking the View Summary button on the change request workflow form. 

To view the changes in Open Plan, complete the following steps:

  1. Start the change request workflow.

  2. Log into Open Plan as the user to whom the change request is assigned.

  3. Select PM Compass Change Requests from the Open Plan Add-Ins menu.

    The list of change requests, with an Open Plan schedule, that need to be approved or completed is displayed.  

The scheduler will not receive notification, nor see the change request in the Open Plan PM Compass Change Requests Add-In, until the workflow has been started.

Clicking Apply Changes in the PM Compass Change Requests Add-In instructs Open Plan to apply the changes made to the schedule activities in the PM Compass Change Details view to a read-only copy of the Open Plan project. Only those fields affected by the change request are updated. Thus, if the schedule has changed since the change request was created and the change details entered, when the change is approved, those changes are applied to the updated schedule.

At this time, you have the opportunity to make additional changes to the schedule then click Save to apply those changes to the change request in PM Compass.

When you make a change to the schedule, you must run time analysis before you click Save. This ensures that the correct dates calculated in Open Plan are used in PM Compass.

It is a good idea to confirm that dates calculated in Open Plan are the same as they are in PM Compass. See Date Calculation Differences in Open Plan and PM Compass for details on why the two systems may calculate the dates differently.

When you click Approve from the PM Compass Workflow dialog in the Change Requests Add-In, a number of processes occur:

  1. A Change Baseline is created in Open Plan with the same name as the system-generated change number. This baseline can be selected and viewed in Open Plan. See the Change Baseline for details about this baseline.

  2. Cobra's Integration wizard is called using the saved configuration in the Schedule Integration Configuration field on the Change Details on Form tab of Workflow Type Configuration.

  3. The cost data is loaded into the temporary Cobra project.  

Audit Log

The audit log for a change request is always kept up to date in the live project only. It is never on in the temporary (sandbox) project.
