Employee Group Manager

The Employee Group Manager tab on the Employee Group form is used to assign managers/supervisors to employee groups with group type SUPERVISOR_MANAGER. A SUPERVISOR_MANAGER group is created on the Employee Group form. Employees that report to the managers are added via the Employee Group Member tab. The group can have more than one supervisor/manager.

The members of the group can be supervised by any manager in the group. In addition, if a person is both a Member and a Manager of a SUPERVISOR_MANAGER group, that person can be supervised by the other managers in the group. Note that if a person is a Member and a Manager of the group, they will not be able to supervise themselves (view and modify their own timecards in the supervisor forms).

You cannot modify the Manager Number in a Employee Group record. Instead you must delete the Employee Group Manager record you do not want to keep and create a new  Employee Group Manager record for the one you want to add.

Note: Another group type that can have manager is a DIRECT_MANAGER group. However, you cannot add a manager to a DIRECT_MANAGER group via the Employee Group Manager tab. The manager is automatically added when the group is created because the manager's Employee Number is used as the Employee Group name. Employees that are managed by a Direct Manager must be added manually via the Employee Group Member tab.

Employee Group Manager Field Descriptions

Manager Number

Employee Number of the Employee Group Manager.

Rcd Num

Person's Rcd Num as defined on the Employee form.

Add As Member Also

This field displays when you add a Employee Group Manager record.

Check this box to also add the manager as a group member. If a person is defined as both a manager and a member of the group, then a supervisor will be able to view the person's timecard on the Supervisor Review form.

First Name, Last Name

First and last name of the Employee Group Manager.

Supervisor Role

A Supervisor Role determines what functions a manager can perform for a person they supervise.

If a supervisor does not have an assigned Supervisor Role, then that supervisor has access to all functional areas for the employees he or she supervises. If a supervisor has authority over the same employee in multiple Employee Groups, that supervisor may have different roles for each group. In this case, the supervisor will have access to the functional areas of all the roles for that employee.

Note that a Supervisor Role is different from a Security Role. A Security Role determines which modules are available, which forms a manager can see and which actions a manager can do on a form, regardless of the employee for whom they are performing these actions. A Supervisor Role determines which functions a supervisor can perform for the employees he or she supervises.

Start Date

The date on which the person started as the Employee Group Manager.

End Date

The date on which the person is no longer the Employee Group Manager.

Update Date, Updated By

These fields display when the record was created or updated, and the person who created or updated the record.

 

Find an Employee Group Manager

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record you want to view.

  3. Click the Employee Group Manager tab on the lower half of the form.

  4. To view specific managers of this group, click the filter button. Use the Manager Num, First Name, and Last Name fields to specify a person.

    You can use the * or % wildcard symbol in these fields to search using partial values. The wildcard symbol can be placed anywhere in your search value to represent unknown characters. For example, to find employees whose first name, last name, or employee number starts with the letter b, enter b%. To find employee numbers (or first and last names) that include 007, enter %007%.

  5. Click Find.

 

Add an Employee Group Manager

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the SUPERVISOR_MANAGER Person Group to which you want to add a manager.

  3. Click the Employee Group Manager tab.

  4. Click Add.

  5. In the Manager Num field, enter the manager's Person Number. You can also click the button to display the Person pop-up form and select an employee from the list.

    The Manager Name field automatically updates with the employee's name.

  6. Check Add As Member Also if you want to add the person as a member as well as a manager. If a person is defined as both a manager and a member of the group, then a supervisor will be able to view the person's timecard on the Supervisor Review form.

  7. You can specify a Supervisor Role that determines what functions the manager can perform for the members of the group.

  8. Select a Start Date and an End Date.

  9. If you want to add more than one Person Group Manager record, click Save and Add to save your settings and keep the pop-up window open. Otherwise, click Save to save your record and return to the main form.

 

Copy an Employee Group Manager

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record you want to add a manager to.

  3. Click the Employee Group Manager tab.

  4. Select the Employee Group Manager record you want to duplicate.

  5. Click Copy.

  6. You can modify the Manager Num, Supervisor Role, Start Date, and End Date.

  7. If you want to add another Employee Group Manager record, click Save and Add to save your settings and keep the pop-up window open. Otherwise, click Save to save your record and return to the main form.

 

Modify an Employee Group Manager

Note: You cannot modify the Manager Number. You can only modify the Start and End Dates and Supervisor Role. To modify the Employee Number, you must delete the Employee Manager record you do not want to keep and create a new one for the one you want to add. You can have more than one manager in a group.

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record with the manager record you want to modify.

  3. Click the Employee Group Manager tab.

  4. Select the Employee Group Manager record you want to modify.

  5. Click Modify.

    The Modify Employee Group Manager form opens. The manager’s Employee Number and Name display as read-only fields (Manager Num and Manager Name).

  6. You can modify the Supervisor Role, Start Date and End Date.

  7. Click Save.

 

Delete an Employee Group Manager

  1. Click Main Menu > Employee Management > Employee Group.

  2. Select the Employee Group record with the manager record you want to delete.

  3. Click the Employee Group Manager tab.

  4. Select the Employee Group Manager record you want to delete and click Delete.

  5. Click OK in the pop-up box to confirm the action.
