Employee Card Dialog Box

Use the Employee Card dialog box to review relevant information about employees as you consider them for assignment to projects. That information includes general information about the employee, skills and credentials, current assignments, and the projects that they are working on now or worked on in the past.

Location

To display the Employee Card dialog box, complete the following steps:
  1. In the Resource Planning workspace, click to go to Resource View.
  2. If necessary, use a search to display, in the grid, the employee for whom you want to review employee information.
  3. Click the employee's name.

You can also display the Employee Card dialog box in Project View if you expand the work breakdown structure down to the resource level so the employee's name is visible.

Contents: Header

The header area of the Employee Card dialog box provides basic employee information and a link to display the employee's current or future assignments in Resource View.

Field Description
Employee name This field displays either the employee's preferred name and last name or, if he or she has not preferred name, first name and last name.
Professional suffixes This field displays name suffixes that indicate educational degrees or professional licenses or accreditation (PhD, AIA, for example).
Job title This field displays the employee's job title.
Organization If Deltek CRM is configured to use organizations, this field displays the description and number of the organization to which the employee is assigned.
Location This field displays the employee's corporate work location.
Click this icon to display plan information for the employee in Resource View.

Deltek CRM closes the Employee Card dialog box and displays Resource View on your current browser tab.

Contents: Profile

Use the Profile tab of the Employee Card dialog box to get contact information, work history and current work status, education, or citizenship information for an employee.

Field Description
Work phone This field displays the employee's work phone number.
Mobile phone This field displays the employee's mobile phone number.
Email address This field displays the employee's email address.

To open your email application to send the employee an email message, click the email address.

Hired This field displays the employee's hire date.
Terminated If the employee is terminated, this field displays the date of termination.
Employee Number This field displays the employee's employee number.
Status This field displays the employee's status: Active, Inactive, or Terminated.
Supervisor

This field displays the name of the employee's supervisor.

Click the name to display a tooltip containing information about the supervisor: preferred name, organization, work and mobile phone numbers, and email address.

Previous Years with This Company If the employee was employed by your organization, left the organization, and then returned, this field displays the number of years in the original period of employment.
Total Years with This Company This field displays the total number of years that the employee has been employed by your firm: Number of years between the employee's hire date and the current date + the number of years in Previous Years with This Company.
Years with Other Companies This field displays the number of years of experience (usually relevant experience) working for other organizations.
Total Years Experience This field displays the total number of years of experience with your firm and with other firms: Number of years in Total Years with This Company + Number of years in Years with Other Companies.
Labor Category This field displays the employee's labor category (for example, Principal or Project Manager).
Hours Per day This field displays the number of hours per day that the employee normally works.
Utilization Target

This field displays the target percentage of the employee's available hours that should be planned billable hours.

Billable hours are hours planned for projects that are assigned the Regular charge type.

Citizenship These fields display the employee's home country, type of citizenship, and citizenship expiration date, if any.
Education: degree

These fields display the employee's degree; major field of study; college, university, or other institution; and graduation year.

If the employee has multiple degrees, this information displays for each one.

Contents: Skills & Credentials Tab

Use the Skills & Credentials tab of the Employee Card dialog box to review an employee's skills, areas of knowledge or expertise, and credentials.

Field Description
Skills These fields describe the employee's skills, knowledge, or expertise. For each skill, Deltek CRM displays skill description, skill level, and skill usage (how long the employee has employed the skill).
Credential type

If your firm has categorized credentials into different types, the credential types display as headings for the lists of credentials. Credentials without a type display under Other Credentials.

If your firm has not set up credential types, a single Credentials heading displays.

Credentials

These fields describe the employee's credentials. For each credential, Deltek CRM displays credential description, credential status (Active or Expired), credential number, state/province and country, and expiration date.

If a credential has an expiration date later than the current date or has no expiration date, the credential status is Active.

Contents: Assignments Tab

Use the Assignments tab of the Employee Card dialog box to review all of the employee's assignments that have ETC hours remaining. This is particularly useful for a project manager who is working in Project View but wants to see quickly what current and future assignments an employee has for other projects.

Field Description
Forecast Range Click next to Forecast Range to display the Change Forecast Range dialog box and define the range of calendar period columns you want to display in the grid. The following settings determine the forecast range:
  • Scale: Indicate whether the calendar period columns represent days, weeks, or months.
  • Duration: Select the number of calendar period columns in the range. The options vary depending on the scale you select. For example, if you select Weeks in SCALE and 8 in DURATION, the grid displays eight columns, each containing planning data for a week.
  • Start date, week, or month: Select the first day, week, or month in the forecast range. The starting period must be after the JTD date or, if the columns are for weeks or months, contain at least one day after the JTD date. After you select the original start day, week, or month, Deltek CRM automatically shifts the forecast range forward as time passes. When the first calendar period is no longer in the future, Deltek CRM changes the first calendar period column to the next day, week, or month and shifts the other calendar period columns accordingly to preserve the same forecast range.
Show Capacity Click next to Show Capacity to select the type of values you want to display in the calendar period columns:
  • Planned hours: Planned hours for the calendar period.
  • Schedule percentage: Planned hours for the calendar period / Total available hours for the calendar period. On the Totals row of the grid, cell background color indicates schedule status: gray (properly scheduled), yellow (under-scheduled), red (over-scheduled).
  • Utilization percentage: Billable planned hours for the calendar period / Total available hours for the calendar period. (Billable hours are hours planned for projects that are assigned the Regular charge type.) On the Totals row of the grid, cell background color indicates utilization status: gray (properly utilized), yellow (under-utilized), red (over-utilized).
LEVEL

This column displays the work breakdown structure (WBS) elements for which the employee has ETC hours.

Click and to expand or collapse the WBS levels.

Click a WBS element to display a tooltip containing the WBS element name and ID, contract start and end dates, project manager, client, project or opportunity name and ID/number (if the WBS element is not the top-level element in the WBS), status, and any notes entered for the WBS element. Click the Open in Project View link in the tooltip to close the Employee Card dialog box and display the resource plan for the project or opportunity in Project View.

If displays in this field next to a WBS element, that WBS element is inactive.

ETC BEFORE

This column displays the total ETC hours that exist for dates after the JTD date and before the start date of the first calendar period column in the forecast range. (Generally, the JTD date is the date of the latest historical labor record in the database, but your system administrator can specify a different date.)

On the Totals row, this column displays the sum of the employee's ETC hours for dates before the start date of the first calendar period column in the forecast range.

If the day following the JTD date falls within the date range for the first calendar period column, no ETC hours exist for dates prior to the forecast range, so this column does not display.

Calendar period columns

The calendar period columns display planned hours for the employee by day, week, or month.

The forecast range you specify in the Change Forecast Range dialog box determines the time frame each calendar period column represents. For example, if you select Weeks in SCALE, 8 in DURATION, and July 1, 2016 in START WEEK, the grid displays eight calendar period columns, each column represents a week, and the first calendar period column is for the week that contains July 1, 2016.

Using the options in Show Capacity above the grid, you can also display utilization percentages and scheduled percentages for employees in these columns on the Totals row. The values in calendar period columns are calculated and displayed as follows, based on your selection in Show Capacity:
  • Planned hours: Planned hours for the calendar period for the WBS element. The Totals row displays the total planned hours for the employee for the calendar period.
  • Schedule percentage: The Totals row displays the schedule percentage for the employee: Planned hours for the calendar period / Total available hours for the calendar period. Cell background color indicates schedule status: gray (properly scheduled), yellow (under-scheduled), red (over-scheduled). WBS rows display planned hours.
  • Utilization percentage: The Totals row displays the utilization percentage for the employee: Billable planned hours for the calendar period / Total available hours for the calendar period. (Billable hours are hours planned for projects assigned the Regular charge type.) Cell background color indicates utilization status: gray (properly utilized), yellow (under-utilized), red (over-utilized). WBS rows display planned hours.

For the WBS level rows, bold values in the calendar columns indicate that the hours for the period are hard booked, and italic values indicate they are either all soft booked or a mix of soft-booked hours and hard-booked hours.

ETC AFTER

This column displays the total ETC hours that exist for dates after the end date of the last calendar period column in the forecast range.

On the Totals row, this column displays the sum of the employee's ETC hours for dates after the end date of the last calendar period column in the forecast range.

Contents: Projects Tab

Use the Projects tab of the Employee Card dialog box to review a summary of the actual job-to-date (JTD) hours the employee has charged to projects. Deltek CRM automatically updates these values when you use the API or the Historical Hours import to bring in hours charged to projects.

Field Description
PROJECT

This column displays the name of the project that the employee charged time to.

This is the top level of the work breakdown structure (WBS).

Click the name to display a tooltip containing additional project information: contract start date, contract end date, and project manager.

CLIENT This column displays the name of the client associated with the project.
START This column displays the first date that the employee charged time to the project.
END This column displays the last date that the employee charged time to the project.
TOTAL HOURS

This column displays the total number of JTD hours the employee charged to the project, through the current JTD date.

Hours charged to lower-level elements of the WBS are rolled up to the top level to get the total hours.
