Project Profit report

Use this report to review what was spent in a selected period and project-to-date. It provides you with a quick look at budget-to-actual values including your hours and amounts for labor, expenses, and consultants. It shows percent spent and percent of profit for each project, along with budget amounts.

You can summarize information by project manager, principal in charge, project type, or department and drill down to project, phase, and full detail information.

Note:

 

  • Billed amounts are based on the invoice date, not the accounting date.
  • Billed amounts include invoice adjustments unless you select the Setup > Projects > Project Info tab > Billing subtab > Exclude from billed for reporting check box for an adjustment.
  • unavailable in ajeraCore - When using Business Development, note that this report includes amounts for production phases not linked to marketing phases and for production phases linked to marketing phases with a final disposition of Won.

Obtaining the best results

Enter a budget for your projects (Setup > Projects > Manage tab).

Producing the report

From the Reports menu, click Project > Project Profit.

Report options

Option Description

Company

Multi-company only. The report contains information for all companies in your organization, unless you select a specific company in this field.

Project

The report contains information for all projects for the period selected, unless you select a specific project in this field.

Period

The report contains information for the current month unless you select a different time period in this field.

Customize options

Option Description

Report title

You can change the title of the report.

Sort order

Sorts the report by project, project manager, billing manager, principal-in-charge, project type, client, or department. If you use multi-company, you can also sort by company.

Project status

Prints all projects or projects of a specific status

Include marketing phases

unavailable in ajeraCore

If selected, it includes Business Development marketing phases in the report.

Limit by

Only prints projects associated with the project manager or principal-in-charge who is producing the report. You can print all projects by selecting No limit. If you use multi-company, you can also limit by company.

Profit basis

Includes spent, billed, or billed + WIP in the profit calculation. The profit amount reflects the profit basis option you select here (spent, billed, or billed + WIP) minus the cost.

Labor detail group

Prints the labor detail on the report according to the order you select

Expense and consultant detail group

Prints the expense and consultant detail according to the order you select

Cap profit at contract amount

If the Profit Basis (spent, billed, or billed plus WIP) amount exceeds the contract amount, the report uses the contract amount to calculate the profit. Otherwise, it calculates the profit using the Profit Basis amount selected. Calculations are made for each phase and then summed for the project total.

Include overhead in cost

If selected, it includes overhead in cost amounts.

The rates come from Company >Preferences > Payroll tab.

The formula used is ((Cost * 1+DPE rate) 1+overhead rate).

Note: If you are using Departments in Ajera and the Department for the employee has a different DPE and/or overhead rate from the Company Preferences settings, then the Department values are used in this calculation.

Include premium time in cost

If selected, it includes premium time in cost amounts.

Include expenses

If selected, it includes expense in report amounts.

Include consultants

If selected, it includes consultants in report amounts.

Use drilldown

If selected, you can drill down to further detail on the report. If cleared, all information, including the lowest level of detail, prints on the report.

Print notes

If selected, it displays notes entered.

Print customize options on reports

If selected, it prints a list of the report options that you select.

Report contents

The report differs based on if you selected Spent, Billed, or Billed+WIP in the Profit Basis field of the Customize options.

If you selected Spent in the Profit Basis field of the Customize options, these columns appear:

The current status, as follows:

A - Active

P - Preliminary

W - Work hold

H - Hold

B - Billing hold

C - Closed

M - Marketing (unavailable in ajeraCore)

Period Hours

Hours worked on the project for the selected period or range of dates

Period Spent

The amount spent on the project at the billing rates for the specified period. Includes expense and consultant spent amounts if selected to print in customize options.

Period Cost

The cost amount spent on the project for the specified period. When the Include overhead in cost customize option is selected, DPE and Overhead are included. When the Include premium time in cost customize option is selected, premium cost is included. Includes expense and consultant cost amounts if selected to print in customize options.

Budget Hours

Budget Fee

The fee amount budgeted for the project. Includes expense and consultant billed amounts if you selected to print them in Customize options. The amount budgeted for the project at billing rates.  

Budget Cost

The cost amount budgeted for the project

Project-to-Date Hours

Hours worked on the project to-date

Project-to-Date Spent

The amount spent on the project at the billing rates to-date. Includes expense and consultant spent amounts if selected to print in customize options.

Project-to-Date Cost

The cost amount spent on the project to-date. When the Include overhead in cost customize option is selected, DPE and Overhead is included. Includes expense and consultant cost amounts if selected to print in customize options.

The percent of hours budgeted that have been worked:

The percent of fee budget that has been spent:

Spent Profit

The amount of profit you have made on the project at spent value:

Project-to-Date Spent - Project-to-Date Cost.

Spent %

The profit percent you have made on the project at spent value:

(Spent - Cost) / Spent * 100

If you selected Billed in the Profit Basis field of the Customize options, these columns appear:

Project-to-Date Cost

The cost amount spent on the project to-date. When the Include overhead in cost Customize option is selected, DPE and Overhead is included. When the Include premium time in cost Customize option is selected, premium cost is included. Includes expense and consultant cost amounts if selected to print in Customize options.

The percent of hours budgeted that have been worked:

% of Budget B + W

The percent of the fee budget that has been billed plus any outstanding WIP on the project:

(Project to-date billed + WIP)/Fee budget * 100

The percent of the cost budget that has been spent:

Billed + WIP Profit

The amount of profit you have made on the project at billed value:

Project to-Date Billed + WIP - Project-to-Date Cost

Billed + WIP %

The profit percent you have made on the project at billed + WIP value:

Billed + WIP Profit/Project to-Date Billed + WIP * 100 and rounded to the nearest whole number

Drill-down detail 

When you drill down, the detail displays entries that occurred for the period or date range that you selected. For example, if you billed a fee job during that period, the Billing Fee entries are listed. If you entered WIP during that period, labor, expense, or consultant entries are listed. 

The detail report displays the current status of the WIP, based on the period or date range that you selected.
