Budget Variance report

Use this report to monitor labor, expense, and consultant totals.

Use the graph view to see, at a glance, which projects need your attention. The comprehensive budget information on the report includes contract amount, amount spent, and amount remaining for labor, expenses, and consultants.

You can summarize information by project manager, principal in charge, project type, or department. You can drill down to project and phase information.

Note: unavailable in ajeraCore - When using Business Development, note that this report includes amounts for production phases not linked to marketing phases and for production phases linked to marketing phases with a final disposition of Won.

Billed amounts include invoice adjustments unless you select the Setup > Projects > Project Info tab > Billing subtab > Exclude from billed for reporting check box for an adjustment.

Producing the report

From the Reports menu, click Project > Budget Variance.

Report options

Option

Description

Company

Multi-company only. The report contains information for all companies in your organization, unless you select a specific company in this field.

Project

Produces the report for a specific project, or for all projects if left blank.

Customize options

Option

Description

Report title

You can change the title of the report.

Sort order

Sorts the report by project, project manager, billing manager, principal in charge, project type, client, or department. If you have multi-company, you can also sort by company.

Project status

Prints all projects or projects of a specific status.

Include marketing phases

unavailable in ajeraCore

If selected, it includes Business Development marketing phases in the report.

Limit by

Only prints projects associated with the project manager or principal-in-charge who is producing the report. You can print all projects by selecting No limit. If you use multi-company, you can also limit by company.

Amount type

Prints either spent, billed, cost, or hour amounts.

Include overhead in cost

If selected, it includes overhead in cost amounts.

Include premium time in cost

If selected, it includes premium time in cost amounts.

Print graph

If selected, a graph of the information appears on the report.

Use drilldown

If selected, you can drill down to further detail on the report. If cleared, all information, including the lowest level of detail, prints on the report.

Print customize options on report

If selected, it prints a list of the options that you select.

Total amount contracted to bill the client

Difference between total spent contract and the total spent

Labor Contract

Total labor amount contract to bill the client

Labor Spent

Total labor amount spent at billing rates to-date

Labor Variance

Difference between total labor spent contract and the total labor spent

Expense Contract

Total expense amount contracted to bill the client

Expense Spent

Total expense amount spent at billing rates to-date

Expense Variance

Difference between total expense spent contract and the total expense spent

Consultant Contract

Total consultant amount contracted to bill the client

Consultant Spent

Total consultant amount spent at billing rates to-date

Consultant Variance

Difference between total consultant spent contract and the total consultant spent

When you select Billed for the Amount Type Customize option:

Consultant Contract

Total consultant amount contracted to bill the client

Consultant Billed

Total consultant amount billed to the client to-date

Consultant Variance

Difference between total consultant amount contracted and total consultant amount billed

When you select Cost for the Amount Type Customize option:

Total Budget

Total cost amount budgeted

Total Cost

Total cost amount spent to-date. Includes DPE and overhead when the Include overhead in cost option is selected. Includes premium cost when the Include premium time in cost option is selected.

Total Variance

Difference between total cost budget and total cost

Labor Budget

Total labor cost amount budgeted

Labor Cost

Total cost amount spent to-date. Includes DPE and overhead when the Include overhead in cost option is selected. Includes premium cost when the Include premium time in cost option is selected.

Labor Variance

Difference between total labor cost amount budgeted and total labor cost

Expense Budget

Total expense amount budgeted

Expense Cost

Total expense cost amount spent to-date

Expense Variance

Difference between total expense amount budgeted and total expense cost

Consultant Budget

Total consultant cost amount budgeted

Consultant Cost

Total consultant cost amount spent to-date
