Use the options on the toolbar to perform actions on a workflow.
Use the Search field to filter the workflows that display in the view. The filtered list becomes the default list for the view until you change it by using the Search again and selecting different workflows.
The Search popup includes the workflow ID, change number, and title. The change number is the system change number that displays on the Workflow Form General tab unless Cobra is set to have the Cobra change number validated by using a code file (set in Cobra on the Project Properties Fields tab). In this case, you can view the change number on the Advanced tab.
You can only search for workflows that are the same workflow type as those listed in the grid and you can only search projects that are linked to the active schedule. A search popup displays the list of workflows that match the search value unless only one workflow matches the search value, in which case PM Compass displays the workflow in the grid.
Performing a search in Model Changes is very similar to performing a search in Workflows; however, the Model Changes Workflow Search dialog box does not include the Show Hierarchy, Include Child Workflows, and Include Closed or Suspended fields. The selections on the Workflow Search dialog box affect the results in this search popup.
The Show Hierarchy option is not available because the data that displays in the grid is a flat view (not hierarchical).
The Include Child Workflows option is not available because you can only model a parent workflow; however, PM Compass automatically includes children in all Model Changes searches. When you perform a search in this view, PM Compass applies the search criteria to both parent and child workflows. If a child workflow fits the search (filter) criteria, the parent workflow is returned in the search results. For example, if you search on CAM is Me, PM Compass finds all parent workflows where you are a CAM in a child workflow.
In the Search Text
field, enter the name of a workflow that you want to find and press ENTER. If you enter a single character,
the system searches for every record that begins with that character.
If you enter more than one character, the system searches for every record
that contains that string of characters. Alternatively, you can click
beside the field to display the Workflow
Search dialog box, or you can click
to navigate
through all saved
searches.
Select the workflows that you want to model in Open Plan and click Load Changes. The following processes occur:
If any of the selected workflows have not yet started, PM Compass automatically starts them but does not send any notifications.
The Open Plan schedule is set to the model changes mode so that changes are not saved to the live project.
Any changes that are already saved in the change request are added to the schedule.
If the sandbox project has not yet been created, the creation of the sandbox begins.
The system calculates Time Now as the beginning of the current period using the Cobra calendar associated with the project in the first workflow.
The Cobra calendar on the sandbox project is advanced so that the status date is at the end of the current period based on today's date.
The status date on the workflow forms is updated.
The snapshot properties, original, and beginning are scheduled.
Many of these processes require a call to the Cobra Web Services. If the Web service is not running, you are asked if you want to continue loading the project. You will not be able to continue with the change request if the Cobra calendar needs to be advanced, and the approve process will fail if you choose to continue. Thus, if you choose to continue, you need to contact your system administrator and start the Web service before attempting to approve the workflow.
If the same activity is being changed in two different workflows, the changes in both workflows are incorporated. This includes relationship and resource assignment changes. When the change is loaded, the PMC_ChangeNumber field on the activity is updated to indicate when the workflow changed. If there is more than one workflow, the workflow numbers display, separated by a comma.
After Time Analysis is complete, PM Compass displays the Modeling Session List View with the loaded workflows.
Use the options in this menu to create a new workflow or make a copy of a current workflow.
New Workflow: Click to add a new workflow of the type selected in the Workflow Type field in the grid header. PM Compass switches to the Form View with all fields set to defaults. When you create a new workflow, you can only select a control account from the active schedule (the schedule that is currently open in Open Plan) and the control account can only be associated to one schedule project.
Copy Current Workflow: Click to create a new workflow based on a workflow that you have currently selected. PM Compass switches to the Form View. The new workflow will have the same Change Number and Control Account as the original workflow. In order to make changes to the workflow in the Change Details view, either the Change Number or Control Account must be different from the original workflow. See Change Number for more details.
Click to access the form view for the selected workflow.
Do Required Action: Using this view, you can approve workflows that do not include schedule changes. For example, if there is a change request for material items that are not in the schedule, you can approve them from this view before modeling the change requests with schedule changes.
This field corresponds to the next action displayed in the My Action Required column in the grid. Select this option to schedule the action for the selected workflows using the Schedule dialog box. If the workflow process has not yet been started for a selected workflow, selecting this option starts the process.
You cannot change a workflow if you are not an assignee on the workflows current assignment row or if the workflow is suspended, cancelled, or closed.
To complete the workflow action manually, open the record in Form View and select the workflow action. You can manually process all actions except the Complete step which is automatically scheduled even when you select it from the Workflow Form View.
Reject: Select this option to reject any assignment rows assigned to you for the selected workflows in the grid. You can only use this option if Reject is an allowed action for the current workflow step.
If you do not have access to cancel a workflow, you can still reject a workflow if the rejection action is to cancel.
Suspend: Select this option to suspend the selected workflows.
Resume: Select this option to resume the workflow for the selected workflows that are suspended.
Reassign: This option allows you to move existing assignments on a record with in-progress workflow from one user to another or add a new assignee. This feature is useful when the workflow fails due to a blank user field, or when someone other than the original assignee needs to perform a workflow action on the record.
Complete: Select this option to update the last modified user, populate the Closed Date field with today's date, and mark the record as closed.
Cancel: Select this option to stop the workflow and remove all temporary data for the workflow. A workflow that has been cancelled cannot be resumed. You should only cancel a workflow when the workflow will never be approved. When you cancel the workflow, a history record is created regardless of whether or not the workflow was started.
If there is an assignment record for the person who cancelled the workflow, since they "took action," the assignment is updated with Cancelled. If there was never an assignment record for the person who cancelled the workflow, you can only see the person who cancelled the workflow in the workflow history.
If the person cancelling the workflow isn't assigned, you can use Reassign and "add" a new assignment to the current step and then cancel the workflow. This allows you to see the person who cancelled the workflow in the past assignment grid.
