Expected Workflow for Creating and Linking Records Between Vision and TrafficLIVE

Projects/jobs, employees, timesheets, and some organization levels can be linked between Vision and TrafficLIVE when you run the TrafficLIVE web service.

The following table summarizes the workflow for creating and linking the records between Vision and TrafficLIVE.

Linked Record Expected Workflow
Project/Job Vision's projects are equivalent to TrafficLIVE's jobs. A project in TrafficLIVE is a group of jobs.

The expected workflow is:

  1. In TrafficLIVE, create new projects/jobs.
  2. In Vision, use the TrafficLIVE web service to send the new projects/jobs in TrafficLIVE to Vision.
  3. In Vision, enter the required fields for the project/job so you can use the project/job for processing (timesheets, expenses, and so on) in Vision.
  4. Throughout the life of the project/job, make any changes to the linked projects/jobs in Vision. Run the TrafficLIVE web service to update the changes to the linked projects/jobs in TrafficLIVE.

You cannot send new project/jobs that you create in Vision to TrafficLIVE. Changes that you make in TrafficLIVE to linked projects/jobs cannot be updated in Vision.

Employee

The expected workflow is:

  1. In Vision, create new employees, and then send them to TrafficLIVE using the Traffic LIVE web service.
  2. In TrafficLIVE, enable the employees that are linked with Vision, and lock the employee number and external code for employees.
  3. In Vision, make any changes to linked employees. Then run the TrafficLIVE web service in Vision to update the linked employees in TrafficLIVE with the changes.

You cannot send new employees that you create in TrafficLIVE to Vision. Changes that you make in TrafficLIVE to linked employees cannot be updated in Vision.

Timesheets

The expected workflow is:

  1. In TrafficLIVE, create and approve new timesheets.
  2. In Vision, use the TrafficLIVE web service to send the new timesheets in TrafficLIVE to Vision.
  3. In Vision, review the linked timesheets and post them.
  4. In Vision, make changes to posted timesheets that are linked to TrafficLIVE by entering billing labor transfers. The linked timesheets in TrafficLIVE are updated with the Vision billing labor transfers when you run the TrafficLIVE web service.

You cannot send new timesheets that you create in Vision to TrafficLIVE. The edits that you make in TrafficLIVE to existing linked timesheets cannot be sent to the timeheets in Vision.

Organizations Employees in TrafficLIVE must have a company location and a department specified. Before you can link Vision employees with TrafficLIVE, you must:
  1. In Vision, complete the mapping of two of Vision organization levels to TrafficLIVE's location and department.
  2. In Vision, use the TrafficLIVE web service to send the organization levels from Vision to TrafficLive.

    You usually do this once when you initially set up Vision and TrafficLIVE integration. However, you can run the TrafficLIVE web service for organizations on a regular basis to check for any new organization values.

After Vision organization levels are sent to TrafficLIVE, the required location and department for employees will be populated in TrafficLIVE when you send new employee records from Vision to TrafficLIVE.

If Vision's organization levels do not map to TrafficLIVE's location and/or department or you do not use organizations in Vision, you can set up a default location and department for the mapping in Vision to use when employees are sent from Vision to TrafficLIVE.
