Use this tab to view the approval progress and history for the absence request that you have open on the Absence Requests form.
This tab is displayed when you use an approval workflow for approving absence requests (turned on in
).

Approvals Grid
When an approval step for an absence request is approved, a row of information displays for it in this grid, so you can easily see information about the approver and the date that the absence request was approved. The most recent approval step is listed first in the grid and the first approval step is listed last. For example, if an approval workflow for the absence request has two approval steps and they both have been approved, the approval for steps 2 is listed first in the grid, and step 1 is listed below it.

Click the drop-down arrow on a grid header to complete any of the following actions:
- To print grid data, click
Print. On the Print Preview form, click
to send the grid data to your default printer.
- To export grid data to an Excel spreadsheet, click
Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
- To turn on grouping for a grid, click
Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.
Not all options are available on all grids.

Approvals Grid Fields

Responsibility

This column displays the role of the employee who approved the absence request step.

Approver
|
This column displays the name of the employee who approved the absence request step. If the Instant Messaging feature is enabled in Vision (on the Miscellaneous tab in
), you can click the icon beside the employee's name to send an instant message or email to the employee.

Date
|
This column displays the date that the absence request step was approved. By default, the approval that has the earliest date appears as the first item.

Click this button to open the Approval History dialog box and view all the steps for the absence approval that you have open on the Absence Requests form. Whereas the Assignments grid on the Progress tab displays one row for an approval step (that changes from
Started to
Approved), on the Approval History dialog box, you see a separate row of information for the various stages (Start,
In Approval,
Approved) of each approval step.

Assignments Grid
The rows in this grid display approval process steps that have been started for the absence request. The first step to display in the grid is step 0. This step is logged when you create a new absence request.
After you submit the absence request, the next step that displays in the grid is step 1. Steps 1 and higher are based on the steps that are configured for the approval workflow for the absence request. (An approval workflow that is created in Approval Workflows Configuration is assigned to a benefit accrual code on the Benefit Accrual Setup tab in
. The absence type that you enter for an absence request in the
Absence Type field on the General tab of the Absence Requests form is based on benefit accrual codes.)
An approval step is added to the grid when the step starts (you see
Started in the
Action Taken field for the step). After a step is approved, the
Action Taken field displays
Approved instead of
Started.

Hide Past Assignments/Show Past Assignments

Click these toggle options to display all the approval steps for the absence request in the Assignments grid or only the current approval step that is started but not yet approved.

Assignments Grid Fields

Step
|
This field displays the number of the approval step, which is based on the steps that are configured for the approval workflow (on the Workflow tab in Approval Workflows Configuration) for the absence request type. Step
0 is logged when a new absence request is created but not yet submitted.

Description
|
This field displays the description of the approval step (from the Workflow tab in Approval Workflows Configuration).
|
Responsibility
|
This field helps you identify the origin of the employee who took action for the step.
The following are possible entries in this field:
- Create User — This displays for step 0, which is logged when a new absence request is created but not yet submitted. This indicates that the employee who was responsible for this step was the person who created the absence request.
- Specific Employee — This indicates that the employee who was responsible for starting or approving the step is an employee who is entered in the
Specific Employee field in the Approval Steps grid of the Workflow tab in Approval Workflows Configuration—for the approval workflow for the absence request type.

Name
|
This field displays the name of the employee that is assigned to the step.
If the Instant Messaging feature is enabled in Vision (on the Miscellaneous tab in
), you can click the icon beside the employee's name to send an instant message or email to the employee.

Delegate
|
This field displays a check box, which is selected if the employee was delegated to approve the step by another employee who was originally assigned to approve the step. You assign a delegate to approve records on your behalf on the General tab in User Options, which you access from Vision's main toolbar.

Due Date
|
This field displays the date when the approval step is due (the date by which it must be approved). This is based on the number entered in the
Days Allotted field in the Approval Steps grid on the Workflow tab in Approval Workflows Configuration for the approval workflow for the absence request type.

Step Start Date
|
This field displays the date when the approval step was started.
|
Action Taken Date
|
This field displays the date when an action was taken for the step, such as approving or rejecting the absence request. By default, the action that has the oldest date displays as the first item.

Action Taken
|
This field displays the action that was taken for a step.
Possible actions taken are:
- Start — This always displays for step 0, which is logged when a new absence request is created but not yet submitted.
Start also displays for approval steps that have started, but which are not yet approved.
- Approved — This displays when an approval step is approved.
- Rejected — This displays when an approval step is rejected.

Comment
|
This field displays any comments that were entered on the Approve dialog box or the Reject dialog box when an employee approved or rejected a step.
This column also displays:

<Employee Name> reassigned — This displays when an employee is added or reassigned to an approval step. This occurs when you click
on the toolbar of the Absence Requests form.

Approved, conditions not met — This displays when an approval step is approved when conditions for the step are
not met.

Completed, conditions not met — This displays when the last approval step is completed (final approved) when conditions for a step are
not met.
