Email Employees from Floor Check Dialog Box

After reviewing the status of time entry on the Floor Check dialog box, you can use the Email Employees from Floor Check dialog box to send email alerts to a selected group of employees (for example, to notify them that they need to complete their time entry for the timesheet period or for the day).

Location

To display the dialog box, complete the following steps:
  1. On the Timesheet toolbar, click Employees > Floor Check.
  2. On the Floor Check dialog box, use the filter options to display the timesheets that you want to review.
  3. Click Select in the grid for each of the timesheets for which you want to send an email alert.
  4. Click Send Email.

Field Description
Subject/Message Options If a saved email alert exists that is designated as the default, the name assigned to that message displays in this field. To select a saved email message, click next to the field.
Organize If you enter an email message and want to save it for reuse in the future, click Organize to display the Organize Options dialog box, assign the message to the Global Options or Personal Options folder, enter a name for it, specify the security roles that have access to it (if you designate it as globally available), and save it.
Default If a saved email alert exists that is designated as the default and you want to display that alert, click this button.
CC To send copies of the alert to employees other than those selected on the Floor Check dialog box, click in CC to display the Employee Lookup and select the employees. You can also enter email addresses directly in CC, separated by semicolons.
BCC To send blind copies of the alert to employees other than those selected on the Floor Check dialog box or specified in CC, click in BCC to display the Employee Lookup and select the employees. You can also enter email addresses directly in BCC, separated by semicolons.
Subject Enter a subject for the email alerts in this field. Click Insert Field to include employee-specific values from one or more of the following fields in the subject:
  • Employee Name
  • Employee Number
  • Timesheet Status
  • Timesheet Period Ending
  • Timesheet Date (This field only has a value if you selected By Day on the Floor Check dialog box.)
  • Hours Entered
  • Hours Expected
Insert Field To insert one of the fields listed above into the subject, place the insertion point where you want the field, click this button, select the field, and click OK.
Message Enter the email message in this field. Click Insert Field to include employee-specific values from one or more of the following fields in the subject:
  • Employee Name
  • Employee Number
  • Timesheet Status
  • Timesheet Period Ending
  • Timesheet Date (This field only has a value if you selected By Day on the Floor Check dialog box.)
  • Hours Entered
  • Hours Expected
Insert Field To insert one of the fields listed above into the message, place the insertion point where you want the field, click this option, select the field, and click OK.

Edit To apply formatting to the message, click this option to display the message in the Vision Text Editor.
Send Click this button to send the email alerts to all recipients.
Cancel Click this button to close the dialog box without sending email alerts.
Help Click this button to display a help topic related to the dialog box.
