Use the Utilization tab to search an employee's activities, project calendar, or both to check availability. You can look at the employee's utilization percentage by day, week, month, or quarter.
If any resource is assigned to work more hours than he or she is supposed to be working and utilization is more than 100%, the number of hours display in red. Hours that display in blue indicate utilization of 100% or less.

Field | Description |
Select Utilization Time Scale

Each utilization displays as a percentage. Select one of the following options.

Daily — Select this option to view a daily schedule. To use this option, the start and end date must be within 100 days of each other.

Weekly — Select this option to view a weekly schedule.

Monthly — Select this option to view a monthly schedule.

Quarterly — Select this option to view a quarterly schedule.

Bi-Weekly — Select this option to view a two-week period, starting on a Monday and ending on a Sunday.

Accounting Calendar — Select this option for your schedule to be based on your organization's accounting period structure. This allows you to line up custom date ranges for periods and plans with your organization's true accounting periods and compare actuals to plans. When you select this option, the Accounting Calendar must be set up with enough periods to cover your organization's planning requirements.

Display Options

Select any combination of the following options to change how your results display:

Show Probability — Select this option to view the probability of the projects and the related work breakdown structure (WBS) the resource is involved with.

Show Plan Name — Select this option to display the plan name. The plan name is color coded based on the mapped Top Project.

Show Project Name — Select this option to display the plan's associated projects. Each project includes a link to the Project Info Center. Click these links to view detailed information about the associated project. The project name is color coded based on the mapped Top Project.

Include Phases/Tasks — Select this option to display the plan's associated phases and tasks, and work breakdown structure. Each phase and task includes a link to the Project Info Center. Click these links to view detailed information about the associated phase or task. The phase/task name is color coded based on the mapped Top Project.

Show Overall Utilization — Select this option to display the overall employee utilization as a percentage.

Include Overhead Projects — Select this option to display the associated overhead projects. Each project includes a link to the Project Info Center. Click these links to view detailed information about the associated project.

Display Calendar Activities — Select this option to display the associated calendar activities. Each activity includes a link to the Activity Manager. Click these links to view detailed information about the associated activity.
Plan, Project, Phase, and Task Colors
The Plan, Project, Phase, and Task names are color coded as follows:

If actuals have been posted to a row which is not mapped then the parent row will display in red.

Labor resources display in green.

Direct expense resources display in green.
-
Reimbursable expense resources display in red.

Unposted details display in dark teal.

If the plan is not mapped to a project, the name and description display in black.

Start Date
|
This field displays the start date for the data displayed in the Results grid (today's date).
If you use the
Daily option for the time scale, the start and end date must be within 100 days of each other.

End Date
|
This field displays the end date for the data displayed in the Results grid, which depends on your setting for the
Select Utilization Time Scale option.
If you use the

Apply

Click
Apply to apply the settings and generate the results grid.
