Vendor List Columns Tab

Use the Columns tab to select or clear columns, change column sequence, provide new column labels, set column widths, or select number and date formats.

Most available columns show data from the Vendor Info Center. In addition, you can use this tab to include columns that contain associated data. These are called "grid columns."

The list of columns in this topic includes all available grid columns. However, the grid columns that actually display on the Columns tab vary based on your selection in Grid Type on the General tab of the Options dialog box. The grid column labels begin with the grid type. For example, the each of the contact grid column labels begins with Contacts - (Contacts - Name, Contacts - Title, and so on).

Field Description
Vendor Number This column displays the vendor number.
Vendor Name This column displays the vendor's name.
Phone This column displays the vendor's business phone number.
Account Number This column displays your vendor-assigned account number. This is your customer number that the vendor uses to identify your account with them.
Status This column displays the vendor's status (for example, Active, Inactive, or Dormant).
Prior Work This column contains Y or N (Yes or No) to indicate whether or not the vendor has completed work for your firm in the past.
Row Count This column displays the total number of detail lines for each group, based on the sorting and grouping selections on the Sorting/Grouping tab. If the report groups data at more than one level, this column displays row counts for all grouping levels.
Web Site This column displays the vendor's Web site address (for example, www.deltek.com).
Linked Client This column displays the name of the client linked to the vendor, if such a link exists. If you preview the report, the client names in this column are links. Click the link to display the client record in a separate window.
Organization This column displays the organization in your company for which this vendor provides goods or services. If your firm does not use organizations in Vision, this column does not appear.
Specialty This column displays the vendor's business specialty (for example, Printing, Interior Design, or Security Systems).
Recommended This column contains Y or N (Yes or No) to indicate whether or not the vendor is recommended for future work with your firm.
Address Description This column displays the description of the vendor's primary address (for example, Company Headquarters or Distribution Center).
Concatenated Address This column displays the vendor's primary street address, city, state, and zip code. The report shows this information in a single column.
Address 1 - 4 These columns display the vendor's primary address information (street name and number, suite number, postal box number, and so on).
City This column displays the city from the vendor's primary address.
State This column displays the two-character abbreviation for the state from the vendor's primary address.
Zip This column displays the ZIP code from the vendor's primary address.
Country This column displays the country from the vendor's primary address.
Fax This column displays the vendor's fax number.
Email This column displays the vendor's email address.
Tax Reg. # This column displays the vendor's tax registration number.
Tax Country Code This column displays the tax country code for the vendor's primary address.
Default Tax Code This column displays the default tax code for the vendor.
Disadvantaged Business This column contains Y or N (Yes or No) to indicate whether or not the vendor is a disadvantaged business.
Small Business This column contains Y or N (Yes or No) to indicate whether or not the vendor is a small business.
Veteran Owned This column contains Y or N (Yes or No) to indicate whether or not the vendor is a small business owned by a veteran of the armed services.
Service Disabled Veteran Owned This column contains Y or N (Yes or No) to indicate whether or not the vendor is a small business owned by a disabled veteran of the armed services.
Minority Owned This column contains Y or N (Yes or No) to indicate whether or not the vendor is a minority-owned business.
Woman Owned This column contains Y or N (Yes or No) to indicate whether or not the vendor is a woman-owned business.
HBCU or Minority Institution This column contains Y or N (Yes or No) to indicate whether or not the vendor is an historically black college or university (HBCU).
Alaska Native This column contains Y or N (Yes or No) to indicate whether or not the vendor is an Alaska native.
HUB Zone This column contains Y or N (Yes or No) to indicate whether or not the vendor is part of the HUB Zone program for small businesses.
8 (a) This column contains Y or N (Yes or No) to indicate whether or not the vendor is part of the 8 (a) business development program for small and disadvantaged businesses.
Type This column displays the vendor type (for example, Trade or Consultant).
Approved for Accounting

Multicompany only

If you use the Multicompany feature, all non-accounting vendor information is established at the enterprise level and shared by all companies. However, accounting data for each vendor is set on a company-by-company basis.

  • A Y (Yes) in this column indicates that the vendor has been marked as approved for accounting for the active company (see the Approved for use in processing for company ___ option on the Accounting tab of the Vendor Info Center).
  • An N (No) in this column indicates that the vendor has not been approved for accounting for the active company.
Payment Terms

This column displays the default payment terms for vouchers entered for the vendor. Available values are the following:

  • Next — Payment for any outstanding vouchers is processed in the next check processing run.
  • Hold — Payment for any outstanding vouchers is on hold until you change the payment terms.
  • Pay When Paid (PWP) — Payment for any outstanding vouchers is processed in the next check processing run after your company receives full payment from the client for the jobs associated with the vouchers.
Regular Account This column displays the account number that receives the explicit debit entry when you post vouchers for the vendor to a regular project.
OH Account This column displays the account number that receives the explicit debit entry when you post vouchers for the vendor to an overhead or promotional project.
Discount Pct This column displays the discount percentage available from the vendor when you pay the amount due on a voucher within the discount period. For example, 10.00 in this column indicates a 10% discount.
Discount Pd This column displays the discount period. The discount period is the number of days during which the discount is available.
Discount Code This column displays the discount code for the vendor (for example, Discounts Taken or Discounts Applied).
Paid This Year This column displays the total amount paid to the vendor in the current calendar year.

If you use the Multicurrency feature, this amount is displayed in the functional currency of the active company.

Paid Last Year This column displays the total amount paid to the vendor in the previous calendar year.

If you use the Multicurrency feature, this amount is displayed in the functional currency of the active company.

1099 Req This column contains Y or N (Yes or No) to indicate whether or not the vendor should receive a 1099 form at the end of the calendar year.
Separate Checks This column contains Y or N (Yes or No) to indicate whether or not you print a separate check for each voucher for the vendor.

If this column contains N, Vision totals all of the vouchers for the vendor that are scheduled for payment and prints one check for the total amount.

Federal ID This column displays the 11-digit number that the federal government assigned to the vendor for tax purposes. If the vendor is a consultant, this number is usually the consultant’s Social Security number. You must have a Federal ID number for all vendors who receive Form 1099. Vision prints the federal ID on Form 1099.
Bank ID For electronic fund transfers (EFTs) — This column displays the bank routing number of the bank in which funds are deposited when you process an accounts payable payment for the vendor.
Account Number For electronic fund transfers (EFTs) — This column displays the number of the bank account into which funds are deposited when you process an accounts payable payment for the vendor.
Account Type For electronic fund transfers (EFTs) — This column displays the type of bank account (Checking or Savings) specified in the Account Number column.
Status For electronic fund transfers (EFTs) — This column displays the status of the vendor's electronic fund transfers account:
  • Add — You plan to initiate the pre-notification step for this account with the next payment processing run.
  • Wait — After you process payments, any electronic fund transfer accounts with the Add status now have the Wait status. The Wait status indicates that you are waiting for bank verification of the vendor's account. (You must change the status to Active when you receive verification of the vendor's account information.)
  • Active — The vendor's account information has been verified, and your bank has approved electronic fund transfer transactions to the account.
Addenda For electronic fund transfers (EFTs) — This column contains Y or N (Yes or No) to indicate whether or not Vision creates an addenda record that is written to the bank file immediately following the electronic fund transfer entry detail record.
Remittance For electronic fund transfers (EFTs) — This column contains Y or N (Yes or No) to indicate whether or not the vendor requires a printed copy (a remittance advice) of the transactions in the electronic fund transfer file.
Create User This column displays the user ID of the person who created the vendor record in the Vendor Info Center.
Create Date This column displays the date on which the vendor record was created.
Modify User This column displays the user ID of the person who most recently modified the vendor record.
Modify Date This column displays the date on which the vendor record was most recently modified.
Address Create User This column displays the user ID of the person who created the address in the vendor record.
Address Create Date This column displays the date on which the vendor record was created.
Address Modify User This column displays the user ID of the person who most recently modified the vendor record.
Address Modify Date This column displays the date on which the vendor record was most recently modified.
Purchase Template If a purchase order template or request for proposal template is specified for the vendor on the Accounting tab of the Vendor Info Center, this column displays the template name.
Specialty Description This column displays the description of the vendor's business specialty from the General tab of the Vendor Info Center.
Memo This column displays the notes entered in Memo on the Accounting tab of the Vendor Info Center.
Custom Currency Code This column displays the currency code used for user-defined currency fields.
Default Expense Code This column displays the default expense code for the vendor from the Accounting tab of the Vendor Info Center.
Contacts - Name This column displays the full name of the contact (Salutation, First Name, Middle Name, Last Name, Suffix).
Contacts - Title This column displays the contact's title (for example, Vice President or Principal).
Contacts - Phone This column displays the contact's business phone number.
Contacts - Fax This column displays the contact's fax number.
Contacts - Pager This column displays the contact's pager number.
Contacts - Cell Phone This column displays the contact's cellular phone number.
Contacts - Home Phone This column displays the contact's home phone number.
Contacts - EMail This column displays the contact's email address.
Links - Description This column displays the name of the external file linked to the vendor on the Links tab of the Vendor Info Center.
Links - Path This column contains one of the following:
  • The complete path for an external file link. This path includes the link name and extension.
  • The address (URL) for a Web site, intranet site, file transfer (FTP) site, and so on.
Links - Graphic This column contains a Y or N (yes or no) to indicate whether or not the file link is a graphic file.
Opportunities - Name This column displays the name of the opportunity.
Opportunities - Number This column displays the opportunity number.
Opportunities - Stage This column displays the current stage of the opportunity (for example, Pending, Awarded, or Lost).
Opportunities - Role This column displays the role of the vendor on the opportunity.
Projects - Number This column displays the project number.
Projects - Name This column displays the name of the project.
Projects - Currency Code This column displays the three-character code for the project currency.
Projects - Cost This column displays the total amount paid to the vendor for the project to date.

If you use the Multicurrency feature, this amount is displayed in the project currency.

Projects - Role This column displays the vendor's role on the project.
Projects - Description This column displays the description of the vendor's role on the project from the Projects tab of the Vendor Info Center.
Projects - ProjectStatus This column displays the status of the project (for example, Active, Inactive, or Dormant).
Annual Revenue This column displays the annual revenue of the vendor.
Employee Count This column displays the number of employees of the vendor.
Market This column displays the general market in which the vendor participates.
