Form W-2 Advanced Printing Options Dialog Box

Use the Form W-2 Advanced Printing Options dialog box to adjust print margins and sort options if your W-2s do not align properly when printed. If you do not have alignment problems, your firm can use the Default Layout option. You can also use this dialog box to change the sorting of W2 forms.

Printing options are not available until you generate a work file.

Location

  1. From the Vision Navigation menu, click Human Resources > Payroll > Form W-2 Processing.
  2. On the toolbar of the Form W-2 Processing form, click Print > Advanced Printing.

Field Description
Unit of Measure From the drop-down list, select the unit of measure to use for the Top, Bottom, Left, and Right margin fields on this dialog box.

The options are inches or millimeters.

When you switch from one unit of measure to the other, the measurements that are currently entered or displayed in the measurement fields are automatically converted to the new unit of measure.

(1 inch = 25.4 millimeter)

Report Layout Select the layout option for the W-2 form:
  • Use Default Layout — Select this option to use the default W-2 form page layout (8.5 x 11 inches with 0.25 inch margins or 216 x 279 millimeters with 6.35 millimeter margins). Most firms can use the default layout.

  • Use Custom Layout — Select this option to enable the margin fields on this dialog box, and modify the top and left margin settings to the minimum allowed by your printer. Select this option if W-2 forms are not properly aligned.

Margins If you select the Use Custom Layout option in the Report Layout section of this dialog box, enter W-2 form margins in Top, Bottom, Left, and Right margin fields.
Sort W-2 Form By Select the option by which you want to sort printed W-2 forms.
  • Employee Number

  • SSN (Social Security Number)

  • Employee Last Name

  • State (from employee's address)
