Generate a W-2 Electronic Reporting File

After you generate, review, and edit a W-2 work file, you can transfer the information to an electronic filing format that conforms to Federal reporting guidelines.

Prerequisites: You must enter information on the Form W-2 Processing form, enter state tax IDs, and generate and edit the work file.

To transfer W-2 information to an electronic reporting file, complete the following steps:

  1. From the Vision Navigation menu, click Human Resources > Payroll > Form W-2 Processing.
  2. Verify that all W-2 information generated for your employees is correct and edit the work file, if necessary.

    Vision does not verify the accuracy of information in the W-2 work file. You must review all W-2 information and make any necessary changes for individual employees using the Form W-2 Editor prior to creating the Electronic Filing Report file.

  3. On the toolbar of the Form W-2 Processing form, click Electronic Filing.
  4. Enter information in the fields on the Form W-2 Electronic Filing Reporting dialog box.
  5. Click Create File.

    When export of the files is complete, Vision displays a dialog box that indicates the number of records exported and prompts you to confirm the process.

  6. Click OK.
  7. On the File Download dialog box, select Save this File to Disk and click OK.
  8. Browse to the location where you want to save the file and click Save.
