Subject
|
Enter a brief description of the activity, or use the drop-down list in this field to select a subject from a list of pre-defined values. Typically, the subject is a short, descriptive statement, such as Initial Consultation, Planning Meeting, or Follow-up Visit. You define activity subject values in the Activity Subject code table in
.
When you selected
Milestone in the
Type field for an activity, the drop-down list in the activity
Subject field contains only the subjects that have been designated for use with the Milestone activity type (in the Activity Subject code table in
).

Location
|
Enter the
location where the activity will occur.
|
Private
|
Select this option if you want the activity to be classified as private. Private activities can be viewed only by the owner, creator, and attendees of the activity. A user who is not the owner, creator, or attendee of a private activity does not see the activity on the Activity Manager form, on the Activity tab of any Info Center, or in any reports.
|
Type
|
Use the drop-down list in this field to select an activity type, such as meeting or phone call.
You can filter the displayed activities by type when you use the Activity Manager. For example, when you open the Activity Manager form, you can choose to display only meetings for the next week and so eliminate the need to scroll though all your activities to find an upcoming meeting time or
location.
You define activity types in the Activity Type code table in
.

Priority
|
Use the drop-down list in this field to set a priority status for the activity:
High,
Medium, or
Low.
|
Completed
|
Select this option to modify the status of an activity from
Pending to
Completed.
|
Client
|
Enter the name of the
client who is associated with the activity. Enter a name in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup.
If you schedule an activity from the
Client Info Center, the current
client record displays in this field. If you schedule an activity from the Opportunity or
Project Info Center, this field displays the
client entered in the
Primary Client field of the opportunity or
project record.

Client Contact
|
Enter the name of the
client contact who is associated with the activity. Enter a name in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup.
When you enter a contact name in this field, the contact name is automatically added to the
Contacts grid on the Contacts tab of the Activity dialog box. If you schedule an activity from the Contact Info Center, the current contact record displays in this field. If you schedule an activity from the Opportunity or
Project Info Center, this field displays the contact entered in the
Primary Contact field of the opportunity or
project record. You can associate additional contacts with an activity on the Contacts tab of the Activity dialog box.

Bus. # (Client Contact)
|
This field displays the
client contact's business phone number as it displays in the corresponding Contact Info Center record.
|
Vendor
|
Enter the name of the
vendor who is associated with the activity. Enter a name in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup.
If you schedule an activity from the
Vendor Info Center, the current
vendor record displays in this field. If you schedule an activity from the Opportunity or
Project Info Center, this field displays the
client entered in the
Primary Client field of the opportunity or
project record.

Vendor Contact
|
Enter the name of the
vendor contact who is associated with the activity. Enter a name in this fields, use Quick Find to select a name, or click
in this field and select a record from the lookup.
When you enter a contact name in this field, the contact name is automatically added to the
Contacts grid on the Contacts tab of the Activity dialog box. If you schedule an activity from the Contact Info Center, the current contact record displays in this field. If you schedule an activity from the Opportunity or

Bus. # (Vendor)

This field displays the
vendor contact's business phone number as it displays in the corresponding Contact Info Center record.

Opportunity
|
Enter the name of the opportunity that is associated with the activity. Enter a name directly in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup. If you schedule an activity from the Opportunity Info Center, the current opportunity record displays in this field.
|
Project
|
Enter the name of the
project that is associated with the activity. Enter a name in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup. If you schedule an activity from the
Project Info Center, the current
project displays in this field.
|
Marketing Campaign
|
Enter the name of the marketing campaign associated with the activity. Enter a name in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup. If you schedule an activity from the Marketing Campaign Info Center, the current marketing campaign record displays in this field.
|
Primary Lead
|
Enter the name of the primary lead associated with the activity. Enter a name in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup.
When you enter a lead name in this field, the lead name is automatically added to the
Leads grid on the Leads tab of the Activity dialog box. If you schedule an activity from the Lead Info Center, the current lead record displays in this field. You can associate additional leads with an activity with the Leads tab of the Activity dialog box.

Bus # (Lead)
|
This field displays the primary lead's business phone number as it displays in the corresponding Lead Info Center record.
|
Activity Owner
|
The activity owner is the person at your firm who is responsible for the activity.
When you schedule an activity,
Vision automatically enters your name in this field based on the credentials that you used to log on to
Vision. However, when you schedule an activity from an Employee Info Center record,
Vision automatically enters that employee's name in the
Activity Owner field. It does not enter your name unless the record that you have open is your own.
To modify the activity owner, enter a name in this field, use Quick Find to select a name, or click
in this field and select a record from the lookup. The activity owner's name and title automatically display in the
Attendees grid on the Attendees tab of the Activity dialog box.

Created By
|
This field displays the employee name of the user who created the activity (or the User ID if there is no employee name associated with the user). You cannot modify this field. When you schedule an activity,
Vision enters your name or User ID in this field based on the credentials you used to log on to
Vision.
|
Start Time
|
Enter the time that the activity is scheduled to begin. Enter the calendar date in the first field or click
to select a start date for the activity. Enter the time in the second field or use the drop-down list to select a start time for the activity.
|
End Time
|
Enter the time that the activity is scheduled to end. Enter the calendar date in the first field or lick
to select an end date for the activity. Enter the time in the second field or use the drop-down list to select an end time for the activity.
|
All Day Event
|
Select this option if the activity will last for an entire day. When you select this option, the activity start time displays as 8:00 AM and the activity end time displays as 5:00 PM. You can modify these times.
|
Show Time As
|
Use the drop-down list in this field to select an option that will indicate how participants' time will be classified on their Activity Calendar for the duration of the activity:
Busy,
Free,
Out of the Office, or
Tentative. Your Activity Calendar is color-coded to match these classifications. This makes it easier for you and others to see when you are available.
|
Reminder
|
Select this option if you want to receive a reminder at a specified time prior to the start of the activity. Then use the
Remind me before fields to set the reminder time for the activity. The
Reminder option is automatically selected each time that you open the Activities Scheduling form.
You can choose to receive email activity reminders, pop-up activity reminders, or both. You can change the way that you receive activity reminders at any time. To change the way you receive activity reminder, click
Options on the
Vision toolbar. Then clear or select the
Enable email reminders and/or
Enable popup reminders check boxes on the Activity tab of the User Options dialog box.

Reminder Minutes, Hours, or Days
|
If you selected the
Reminder check box, use these fields to set the reminder time for the activity. Enter a number in the first field, and use the drop-down list in the second field to select a unit of time:
Minutes,
Hours, or
Days.
For example, you schedule an activity with a start time of 11:00 AM on October 15. You select the
Reminder check box. Then you enter
15 in the first
Remind me before field, and you select
Minutes from the drop-down list in the second field. At 10:45 AM on October 15,
Vision sends you a reminder for the scheduled activity.
You can choose to receive email activity reminders, pop-up activity reminders, or both. You can change the way that you receive activity reminders at any time. To change the way that you receive activity reminder, click
Options on the
Vision toolbar. Then cancel or select the
Enable email reminders and
Enable popup reminders check boxes on the Activity tab of the User Options dialog box.

Notes
|
Enter notes related to the activity. You can enter text directly in this text box, or click
Edit on the text box toolbar to use the
Vision Text Editor to enter text.
When you enter text directly in the
Notes text box, the following apply:
- Press SHIFT+ENTER on your keyboard to start a new line of text.
- Press ENTER on your keyboard to start a new paragraph.
