Billing Unit Insert Dialog Box

Use the Billing Unit Insert dialog box to insert a unit transaction to the billing side of Vision that has not been costed.

If you insert a unit transaction through Interactive Billing, no costing entries are made to your general ledger. If you want to enter this information in your general ledger at another time, you must add a unit transaction through Transaction Entry and be sure to select the Suppress Bill option for the transaction, so that the transaction is not double-billed.

Location

To display the dialog box, complete the following steps:

  1. From the Vision Navigation menu, click Billing > Interactive Billing.
  2. Click the Units tab.
  3. On the toolbar, click Insert.

Field Description
Project This field displays the project associated with the transaction.
Phase This field displays the phase, if any, associated with the transaction.
Task This field displays the task, if any, associated with the transaction.
Unit Select the unit number to associate with the transaction.
Table Select the unit table to which the unit belongs.

Some units may appear in multiple tables, with different rates. You can double-check that you have selected the correct table by verifying the value that appears in the Rate field. If the unit appears in only one table, only one table name appears in this field.

If a table named <Default> contains the selected unit, Vision automatically selects that table as the default. Otherwise, Vision selects the first table in which the unit is present.

Unit Tables marked with a status of Dormant in the Unit Info Center are not available for selection from this drop-down list. If a project was associated with a unit table that is now Dormant (from the Accounting tab of the Project Info Center), this Table field will be blank. You must select a new unit table.

If you use the Multicompany feature, you cannot duplicate unit table names across companies. In this case, you might set up tables with names such as <Default-US> and <Default-UK>.

Date Enter the transaction date or click Calendar and select a date.
Description Enter descriptive text to associate with the unit transaction.
Quantity Enter the number of units to associate with this transaction.
Rate This field displays the billing rate used to determine the billing extension amount, as specified in the associated unit table. If you have both a billing rate and a cost rate defined for the unit, Vision retrieves the billing rate.
Extension The billing extension amount of the unit transaction, determined by multiplying the billing Rate times the Quantity.
Employee Select the employee who will receive all the realization associated with the unit being inserted. The employee name displays next to the Employee field.

This field displays only if you enabled the Employee Realization Reporting feature.

An entry is required in this field for units that are set up with the Employee-specific Revenue check box selected on the Unit Info Center form.
