Employee Realization Allocation Dialog Box

Use the Employee Realization Allocation dialog box to view employee realization data, hours, and billing rates or cost rates. You can also edit employee-specific realization amounts and the labor realization value.

Some buttons display only when you open the Employee Realization Allocation dialog box in Billing > Interactive Billing.

Location

This dialog box displays in the following places:

  • If you use the Invoice frequency for Employee Realization Reporting, this dialog box displays in Interactive Billing after you click OK on the Invoice Accept dialog box when you create an invoice or after you click OK on the Invoice Credit dialog box when you create a credit memo.
  • If you use the Period frequency for Employee Realization Reporting, this dialog box displays in Billing > Employee Realization after you click Run on the Employee Realization Allocation form.

Field Description
Search When you access the Employee Realization Allocation dialog box from Billing > Employee Realization, you use this field to open the Project lookup and select one project to view on the Employee Realization Allocation dialog box. This applies if you selected multiple projects for which to run the Employee Realization program.

If you access the Employee Realization Allocation dialog box from Interactive Billing, this field does not apply.

Employee Realization Allocation Grid

The default view for the grid is controlled by the Default to project view on details tab check box in the Transaction Detail section of the Billing Session Options dialog box. To access this dialog box, from the Interactive Billing form, click Tools > Options. Select this check box to display data for all WBS (work breakdown structure) levels when you open the Employee Realization Allocation grid.

Click (the Phase/Task lookup) to the left of the project name. On the drop-down list, you select what to display in the grid; only a particular phase (WBS2) or task (WBS2 and WBS3), or all phases and tasks for a project.

The drop-down list includes the following:

  • All WBS levels that are associated with a project that have labor posted to them, even if they do not have invoice amounts. This allows you to add realization to employees on WBS levels that do not have billing amounts.
  • All projects that are part of a billing group, if you use billing groups.

When you access this dialog box in Interactive Billing, this grid displays realization information for all employees with labor detail for an invoice. This includes employees that have posted labor amounts and any employees that you insert on the Labor tab of the Interactive Billing form.

When you access this dialog box in Employee Realization, this grid displays realization information for all employees and projects that are based on the selections that you made on the Employee Realization Allocation form that initially displays in Billing > Employee Realization.

Field Description
Employee Realization Allocation drop-down

Click the drop-down arrow on a grid header to complete any of the following actions:

  • To print grid data, click Print. On the Print Preview form, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.

Not all options are available on all grids.

Employee When you access this dialog box in Interactive Billing, this grid displays all employees with labor detail for an invoice. This includes employees that have posted labor amounts and any employees that you insert on the Labor tab of the Interactive Billing form. All of an employee's hours for a phase and task (posted on multiple days) are summarized in one entry in the grid. You cannot add employees to the grid.

When you access this dialog box in Employee Realization, this grid displays employees for the projects and periods that you selected on the Employee Realization Allocation form that initially displays in Billing > Employee Realization. You cannot add employees to the grid.

Project This displays the project for which the employee has realization.
Phase (WBS2) If you use phases (WBS2), this field displays the phase for an employee. All of an employee's hours for a phase and task (posted on multiple days) are summarized in one entry in the grid.
Task (WBS3) If you use tasks (WBS3), this field displays if you the task for an employee. All of an employee's hours for a phase and task (posted on multiple days) are summarized in one entry in the grid.
Hours When you access this dialog box in Interactive Billing, this is an employee's total hours for the invoice from all invoice transactions, including inserted, modified, and billed records. The Hours column does not include hours that are written off or on hold. The hours displayed here are the same as the hours displayed on the Labor tab in Interactive Billing before you accepted the invoice with the exception of written-off and hold records. Non-billable labor hours are included in the hours, without regard to the option in Billing Configuration on whether or not to include non-billables. You cannot edit the hours.

When you access this dialog box in Employee Realization, this is an employee's hours for employee-specific time and units from posted invoices for the projects and periods that you selected on the Employee Realization Allocation form that initially displays in Billing > Employee Realization.

Billing Value This monetary amount includes all the billable time record transactions associated with an employee. This includes inserted, modified, and billed records. This column does not include hours that are written off or on hold.

This column displays only if you chose the Billing calculation method for Employee Realization Reporting on the Reporting tab of Accounting System Settings.

If you use the Multicurrency feature, the billing value is in the billing currency.

Cost Value This monetary amount includes all time records transactions that are associated with the employee, including posted and billing transactions, as well as non-billable labor. This column does not include hours that are written off or on hold.

You must have security (Labor Cost Rates/Amount setting in the Miscellaneous section of the Accounting tab in Roles security) to view cost information to see values in this column. This column displays only if you chose the Cost calculation method for Employee Realization Reporting on the Reporting tab of Accounting System Settings.

If you use the Multicurrency feature, the cost value is in the project's billing currency.

Employee Specific Unit Realization This is the monetary amount of realization from unit postings for which the unit is designated as employee-specific (the Employee-specific Revenue check box is selected on the Units Info Center form). The revenue account specified for the unit (on the Units Info Center form) must be an allocation account designated for the Employee Realization Reporting feature on the Reporting tab of Accounting System Settings.

This amount includes only units that are billable, including billing modifications to the unit. The amount does not include units that are on hold or to be written off. A cost-only unit (non-billable) is not included.

If an employee is associated with only an employee-specific unit and does not have labor transactions associated with an invoice, the unit will be allocated to the specific employee.

You can edit this field in the following situation: When all of a project's WBS levels are displayed in the grid, you can move realization amounts (Employee Specific Unit Realization and Labor Realization) between different WBS levels as long as the Total Realization matches the total invoice at the project level.

Labor Realization This is the monetary amount of realization that is associated with an employee's hours. The amount is calculated using the calculation method (Billing, Cost, or Hours) that is specified on the Reporting tab of Accounting System Settings.

The total labor revenue amounts (as defined by the accounts on the Reporting tab of Accounting System Settings that are specified for the Employee Realization Reporting feature) is prorated among the employees who work on the project.

You can edit this field. For example, you can edit the labor realization amount for an employee to give more credit based on the employee's effort rather than raw hours, cost, or billing value.

When all of a project's WBS levels are displayed in the grid, you have the ability to move realization amounts (Employee Specific Unit Realization and Labor Realization) between different WBS levels as long as the Total Realization matches the total invoice at the project level.

If the fee method for an invoice is Percent Complete by Phase and you enabled posting by billing phase (on the Fees tab in Billing Terms), the full amount of the phase billing is allocated to the specified WBS2 or WBS2/WBS3. You can switch the Employee Realization Allocation grid to the project view and assign the allocation to labor on other phases as needed.

If you use the Multicurrency feature, the labor realization value is in the project's billing currency.

Total Realization This displays the sum of the employee-specific realization monetary amount and the labor realization monetary amount.

The total realization amount for all employees matches the invoice amount for the allocation accounts specified on the Reporting tab of Accounting System Settings.

Sum bar This displays the totals in each of the Employee Specific Unit Realization, Labor Realization, and Total Realization columns.
Invoice Total When employees at the project level display in the grid, the invoice total is for all the Employee Realization Reporting allocation accounts on the Invoice Accept dialog box. When employees at the phase (WBS2) or task (WBS2 and WBS3) level display in the grid, the invoice total is equal to the available realization amounts in the grid.
OK Click this button to save realization calculations, close the dialog box, and print or preview the invoice. Whether the invoice prints or is previewed depends on whether or not you selected the Preview Accepted Invoice check box in the Final Invoice Processing section of the Billing Session Options dialog box.
Allocate Click this button to allocate employee realization amounts to the employees who are displayed on this dialog box.
Save Click this button to save any changes that you make to the allocation grid. Saving is not necessary before you click the Allocate button. This does not save the realization calculations for another session, but it may help you as you move between projects in the Employee Realization dialog box.
Cancel Click this button to close the dialog box without saving the realization calculations.
