Use the Numbering tab of General System Settings to view the current formats for your firm's record identification numbers, and to set up auto numbering for records.
You can set up auto numbering for the Project, Employee, Vendor, Client, Opportunity, Marketing Campaign, and Equipment Info Centers. You can also set up numbering formats for user-defined components. When you create a user-defined Info Center that includes a
Number field, a row is added to the Numbering tab, and you can define the numbering structure for the new Info Center.
To change the length and format of key fields, use the Key Formats utility.

Click the drop-down arrow on a grid header to complete any of the following actions:
- To print grid data, click
Print. On the Print Preview form, click
to send the grid data to your default printer.
- To export grid data to an Excel spreadsheet, click
Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
- To turn on grouping for a grid, click
Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.
Not all options are available on all grids.

System Label

This field displays the system label.
|
Length
|
This field displays the specified length of the system label.
|
Leading Zeros
|
This field displays the position of leading zeros.
|
First Delimiter
|
This field displays the position of the first delimiter.
|
First Delimiter Position
|
This field displays the location of the first delimiter position.

Second Delimiter
|
This field displays the position of the second delimiter.
|
Second Delimiter Position
|
This field displays the location of the second delimiter position.

Auto Number Source
|
If you use the auto numbering feature, select one of the following options as the source for the auto numbering. These options let you create custom formats for your auto numbers.

<None> — Select this option to disable auto numbering for the associated Info Center. When you select
<None>, the column remains blank to indicate that no
Auto Number Source is assigned.

Auto Number Format
|
If a value is selected in the
Auto Number Source column, then the
Auto Number Format column is enabled and required. If no value is selected in the
Auto Number Source column, then the
Auto Number Format column is disabled.
When you click in this column, a detail
button displays. Click this button to open a dialog box that reflects your selection in the
Auto Number Source column. After a format is defined,
<auto number defined> displays in this column.

Allow Override of Auto Number
|
Select
Allow Override of Auto Number to allow the user to enter a different number before the auto number is generated for a record.
When you enter a non-automatic number,
Vision checks for duplicate records and, if it detects one, displays the Potential Duplicate Records Found dialog box. This dialog box identifies the name and number of the existing record that exactly matches the number that you are trying to add.
If an auto number has been generated, you must run a Key Conversion to change the number.
