Calendar Tab of Company Timesheet Configuration

Use the Calendar tab to manage timesheet periods for the active company. On the Calendar tab, you add timesheet periods manually or use Auto Fill to add periods for a specified period of time. You can also copy, edit, or delete existing timesheet periods, or change the status of a period.

You can sort information on the Calendar tab by any of the grid columns.

Field Description
Enable Timesheet Period Number

Select this option if you want to assign numbers to timesheet periods and then display the period number on the Timesheet form and on timesheet reports.

This option supports the common practice in European countries to have weekly timesheets and refer to them by the week number within the year rather than by period start and end dates.

Label
If you select Enable Timesheet Period Number, select the label you want to display with the period number on screens and reports:
  • Week Number — Select this option if you have weekly timesheets.
  • Timesheet Period Number — Select this option if your timesheet periods are not weekly.

Grid Options

Field Description
Drop-Down

Click the drop-down arrow on a grid header to complete any of the following actions:

  • To print grid data, click Print. On the Print Preview form, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.

Not all options are available on all grids.

Auto Fill

Click Auto Fill to automatically add timesheet periods to the Calendar grid. When you click Auto Fill, Vision displays the Establish Timesheet Calendar form. Use this form to define the following for the timesheet periods you are adding: frequency, start and end dates, period status, and, optionally, period number.

For example, if you want to use the Auto Fill option to set up all biweekly timesheet periods from January 1, 2015 through June 30, 2015 with a status of open, enter the following information on the Establish Timesheet Calendar dialog box:

  • Biweekly in Timesheet frequency
  • 1/1/15 in Start date
  • 6/30/15 in End by
  • Open in Set status to
  • 1 in First Timesheet Period Number (if timesheet period numbers are enabled)
Insert Click this option to add a new timesheet period to the Calendar grid (directly below the currently selected row). When you click Insert, Vision inserts a blank row in the Calendar grid, where you can enter the new period information.
Copy Click this option to copy the currently selected timesheet period information to a new row in the Calendar grid. When you click Copy, Vision inserts a new row on the Calendar grid, where it copies the start date and status of the selected timesheet period. Vision does not copy the end date of the selected timesheet period.
Delete Click this option to delete the currently selected timesheet period from the Calendar grid. When you delete a timesheet period, Vision also deletes any corresponding timesheet data for the period.

Grid Contents

Field Description
Start Date Enter the start date for the timesheet period. You can enter the date directly in this field, or select a date from the drop-down calendar.
End Date Enter the end date for the timesheet period. You can enter the date directly in this field, or select a date from the drop-down calendar.
Status

Click this field and use the drop-down list to select a status for the timesheet period. The status you select determines what timesheet processing options are available to Timesheet users.

Your timesheet period status options are: Open, Administrators, System Administrators, Closed.

Week Number/Timesheet Period Number

If Enable Timesheet Period Number is selected, enter the number for the timesheet period.

If you use the Auto Fill toolbar option to specify a set of timesheet periods, Vision assigns the period numbers to the new periods sequentially starting with the beginning number you specify in the Establish Timesheet Calendar dialog box.
