Receive Line Items

After you add receipts, you can receive individual items, or all line items, that were delivered for a purchase order.

Prerequisite: To receive line items, there must be at least one receipt record in the Receipts grid.

To receive one or more line items:

  1. In the Navigation pane, select Purchasing > Receiving.
  2. In the Receipts grid of the Receiving form, select an existing receipt or add a new one.

  3. In the Line Items grid, select a line item grid row entry.
  4. In the Qty Accepted field, enter the quantity of this item that you are accepting in this receipt.
  5. If you reject any items:
    1. In the Qty Rejected field, you enter the quantity of this item that you are rejecting.
    2. If the Quality Code in Receiving option is selected on the General tab of Configuration > Purchasing & Inventory > Company Settings, you must use the Rejected Item Quality option to select a quality code that represents the condition of the rejected item at the time of delivery.
  6. In the Receive Notes field, enter additional information about the line item's delivery.
  7. Click Receive.
    The item's received status changes to Fully Received or Partially Received, depending on the values that you entered in the Qty Accepted and Qty Rejected fields.

    • The Purchase Order Line Detail dialog box
    • The Line Items grid of the Purchase Orders form
  8. Click Save.
  • When you receive line items, you receive activity notifications that have hyperlinks to the receipt record through activity entries in the Notification Center and an email message that is automatically sent to your email address. You configure this setting in Settings > Purchasing & Inventory > Purchasing Alerts, in the desktop application.
  • You can also click Receive All to receive all line items associated with the purchase order receipt.
