Contents of the Email Remittance Dialog Box

Use the fields and options to send payment remittances by email.

Email Options

Use the following options to create, select, or modify email templates.

Field Description
Select Email Template

Select a saved personal or shared email template to use as the basis for a new email message.

To modify the options of an existing email template, select the template from the Select Email Template drop-down list and then click the Save Email Options button.

Save Email Options

Click this button to open the Save Email Options dialog box, on which you can save email templates for future use. Depending on your security role and save rights settings, you can save email templates for personal use, for the use of those who share your role, or for use by all roles.

To display and use your saved email templates, click the Select Email Template option.

Recipient Options

Select the recipients of the email message with the attached remittance advice that you are sending.

Field Description
Select Attendees From

Select the type of email recipients by which to filter the contents of the grid below this field. Use the grid to specify who will receive your email message.

After you specify recipients of one type, you can include other recipients by changing the type in the Select Attendees From field. For example, after you specify an employee and the associated recipients, you can also select contacts to receive the email message.

+To, +CC, and +BCC Click one of these options to add your selected recipients in the grid as either To, CC, or BCC recipients. Email addresses prefill the To, CC, or BCC field below these options.

Alternatively, you can click these options to display the email fields and then manually enter email addresses. If you displayed the Email Remittance dialog box using the Recipients option in the Payments grid, you can add recipients to the CC and BCC fields.

To, CC, and BCC These fields prefill with the email addresses of the recipients that you selected in the grid above and then clicked +To, +CC, or +BCC.

You can also enter the email addresses directly in these fields. If you want to send copies to multiple addresses, press ENTER on your keyboard after typing each email address.

  • To: Use this field to identify your primary recipients.

    If you displayed the Email Remittance dialog box using the Recipients option in the Payments grid, this field prefills to Email Recipients and is display-only. Vantagepoint sends the email message to those who have been configured to receive an email remittance.

  • CC and BCC: To send copies to recipients other than the primary recipients, select from the grid above or enter email addresses in these fields.
From

This field displays the email address of the Vantagepoint user who is sending the email message.

Message Options

Use these options to enter the content for the email message, as well as any pre-defined placeholders for the text fields that you want to include.

Field Description
Subject Enter the subject for the email message.
Message Enter the text for the body of the email message. Click in the text box toolbar to display the text formatting toolbar with options to bold text, add bullets, change the text font, and so on.
Insert Field If you displayed the Email Remittance dialog box using the Recipients option in the Payments grid, you can use the Insert Field option to insert placeholder field codes into the email subject and message. When the message is sent, the field codes are replaced with actual information from the database record. If no data is selected for merging in the Subject or Message field, Vantagepoint uses standard email functionality.

Buttons

Field Description
Schedule Click this button to open the Schedule dialog box and run the email process at a later time.
Preview Click this button to preview the remittance advice before sending the email message.
Send Click this button to send the email message with the attached remittance advice.
Cancel Click this button to discard sending the email message and remittance advice.
