Contents of the Assign New Project Number Dialog Box

Use the fields and options on this dialog box to assign a new number to a regular project when you are awarded the project.

Field Description
New Project Number

Manual Numbering

If you use manual numbering, enter the new number for the awarded project. This number will replace the existing number (pre-award number) for the project.

Auto Numbering

If you use auto numbering for projects and allow users to override auto numbers, auto-numbered prefills in the New Project Number field. Complete one of the following:

  • To automatically assign the next number from your awarded project numbering system, leave auto-numbered in the New Project Number field.
  • To override the next number from your awarded project numbering system, enter a new number in the New Project Number field.

This field does not display if you use auto numbering for projects and do not allow users to override auto numbers. The next number from your awarded project numbering system will be assigned automatically to the awarded project.

Schedule New Number

Click this button to open the Schedule dialog box and schedule the number change to occur at a future time.

Scheduling a project number change for a future time can help you avoid data loss. If other users are working with a project record in the Projects hub or in other applications in the Projects hub (such as Contract Management) when a project's number is being changed, those users will not be able to save any changes they made to the project. They must reload the project and re-enter any changes that were lost.

After you schedule a project number to be changed at a future time:

  • Orange text displays below the project number in the Project Number field in the header of the Projects form to let you know the date and time that the project number will be changed. It also shows the new number that will be assigned, based on your entries on the Assign New Project Number dialog box.

    This same orange text displays below the project number in the Project Number field in other applications in the Projects hub, such as Contract Management.

  • The Approved for Use in Accounting checkbox is cleared and remains locked until the project's number is changed. The checkbox is selected automatically when the project number is changed.
  • If necessary, you can cancel the schedule number change in Utilities > Process Server > Queue Manager. Then select the Approved for Use in Accounting checkbox again to reschedule the number change.
  • If a project number is not updated as scheduled, check the job in Utilities > Process Server > Queue Manager.
Run New Number

Click this button to assign a new project number immediately.

Warning: If other users are working with a project record in the Projects hub or in other applications in the Projects hub (such as Contract Management) when the project's number is being changed, those users will not be able to save any changes they made to the project. They must reload the project and re-enter any changes that were lost. For this reason, it is best to change a project's number when other users are not in the project record.

See the Users Who Are Currently Working with a Project Record

In the Projects hub, you can easily see all the users who are currently working with a project record in the Projects hub or in other applications in the Projects hub (but not Billing Terms or Revenue Forecast). A picture icon of each user who is working in the Project hub applications is displayed in the upper-right corner of the Projects form. This feature is turned on if you have the Enable Real-Time Notifications and Interaction checkbox selected in the Global Options section in Settings > General > Options.

Seeing the picture icons on the Projects form can help you decide whether or not to change a project number now or later. You can also easily contact these users by clicking their picture icon. Then in the info bubble, click the user's email address to send an email or click a Microsoft Teams chat icon to start a chat with the user. After You Click Run New Number

After you click Run New Number, the following occur:

  • While the new number is being applied, orange text displays below the project number in the Project Number field in the header of the Projects form. The text lets you know that the project number is being updated. It also shows the new project number to be assigned, based on your entries on the Assign New Project Number dialog box.

    This same orange text displays below the project number in the Project Number field in other applications in the Projects hub, such as Contract Management.

  • You see a message on the screen that lets you know that the number change is still processing.
  • The Approved for Use in Processing checkbox in the Accounting tab of the Projects form remains selected after the project number change has been completed.
Keep Existing Number

Click this button to return to the Accounting tab on the Projects form without changing the existing number for the project.

In the Summary pane on the Projects form, the pre-award number remains in the Project Number field number and no Pre-award Number field displays in the Pursuit Details section.

The Approved for Use in Processing checkbox on the Accounting tab remains selected.

This button does not display if you use auto numbering and do not allow users to override numbers.

Cancel Click this button to return to the Accounting tab on the Projects form without assigning a new number for a project. The Approved for Use in Processing checkbox on the Accounting tab is cleared.
