UDT01 Types

Use the UDT01 Types screen to associate business rules with UDT01 codes. At the type level, you can specify the daily minimum and maximum hours. For example, for Holiday leave, you could specify a minimum of eight hours and a maximum of eight hours. This edit would require Holiday leave to be recorded in eight-hour increments.

The following account types are used in GCS Premier. They need to be added in Deltek Time so the UDT01 download can correctly download the type when selected to do so from the Master Table Options screen.

  • C - Contract

  • P - Bid & Proposal

  • R - IR&D

  • W - Work in Process

  • L - Indirect Labor

Costpoint also has account types. You must set up your UDT01 types in Deltek Time. You can set up additional leave types in Deltek Time for tracking purposes, if needed.

When do I use the UDT01 Types screen?

Use this screen when you initialize Deltek Time\Expense\Self Service. You should set up the UDT01 types before you set up or import UDT01 information.

UDT01 Type Code

Enter a 10-character, uppercase alphanumeric UDT01 type code. Each UDT01 Type Code must be unique. Although this code does not display in other screens, you should assign a meaningful code because this field can be used in user-defined reports/inquiries.

Description

Enter an UDT01 type description of up to 30 characters. Because they are used in drop-down boxes and as column headings for reports/inquiries, make descriptions as short as possible and properly capitalized. Each UDT01 type description must be unique.

Type

Select the appropriate type for this UDT01. This will designate UDT01s of this type to be either for Deltek Time, Deltek Expense, or both. The possible options are "Time," "Expense," and "Both."

If you are licensed for Deltek Time only, the field will default to "Time" and will not be editable. If you are licensed for Deltek Expense only, the field will default to "Expense" and will not be editable. If you are licensed for both Deltek Time and Deltek Expense, the field will default to "Both," but you will be able to change the value if you wish.

Options

Daily Min Hours

Enter the minimum number of regular hours that can be charged to UDT01s assigned to this UDT01 type for any specific day on an employee's timesheet. For example, you could have the UDT01 type to which holiday charges are assigned require a minimum of eight hours per day.

Daily Max Hours

Enter the maximum number of regular hours that can be charged to UDT01s assigned to this UDT01 type for any specific day on an employee's timesheet. For example, you could have the UDT01 type to which vacation charges are assigned require a maximum of eight hours per day.

Utilization Code

Use this drop-down box to select the utilization code with which this UDT01 type will be associated.

Billable

Select this checkbox if you wish the UDT01s assigned to this type to be billable.

Future

Select this checkbox if UDT01 codes assigned to this UDT01 type can be charged in advance. Leaving the checkbox blank restricts future charging.

Export

Select this checkbox if you want UDT01s assigned to this UDT01 type to be exported using the standard interfaces. Leaving the checkbox blank will cause UDT01s assigned to this UDT01 type to be automatically marked as processed, and they will not be exported during the export process.

Counts Toward Overtime

Select this checkbox to include hours charged to this UDT01 type as hours worked for overtime. If sick and vacation charges do not count toward overtime under your company policy, do not select this checkbox for UDT01 types with which these charges are associated.

Time In/Out

Select this checkbox to include this UDT01 type in the calculation of hours worked for time in/out purposes. This checkbox is unselected by default.

Start/Stop Times

Select Start/Stop Times if you want employees to be able to enter work start and stop times for UDT01 codes assigned this UDT01 type.

Time & Expense with ESS only allows entry of start and stop times for specific UDT01 charge codes if this check box is selected for the UDT01's type, and the employee's timesheet class is set up to require start and stop times for work detail.

Prorate

Select this checkbox to have the hours for UDT01s assigned to this UDT01 type prorated during timesheet calculations. This checkbox is unselected by default. See the Special Topic on "Hour Proration" for more details.

You cannot delete an UDT01 type if it is set as the default UDT01 type in the General Options tab of the General Configuration screen, or if it is being used as an UDT01 type for an existing account.
