In order to correctly determine when future hours or revisions are entered, you must take into consideration the user's time zone in relation to the system's time zone. You specify the application server's time zone in the General screen under the Configuration menu. Users select their time zone when they initially log into the Deltek Workforce system.
Whether the user is allowed to modify his time zone is determined by his security role. If modification is allowed, it can be done in the Preferences or Employee Information screens. When the timesheet is saved, the server and user time zones are compared. Following is a description of each screen involved with the time zone feature.
In the General Options tab of the General Configuration screen, you can use the Time Zone drop-down in the Server Settings group box to select the time zone. The drop-down box displays both the time zone code and description from the Time Zone table delivered with Deltek Workforce. The default is "Eastern Standard Time (America/New_York)."
The value selected in this drop-down box determines the server's time zone. The system will compare it with the user's time zone when performing the following edits:
Future hours and revision audits while saving of the timesheet
The default date in the criteria tab on the Floor Check screen
The default date in the calendar when the Open function is selected on the timesheet
The timesheet period that should display when selecting the Timesheet screen
The default expense report date in the General Wizard screen
After you successfully log into the system, a time zone dialog will display if you have not already chosen a time zone. The dialog will have a Time Zone drop-down box where you select your time zone. The drop-down box will list both the time zone description and code from the Time Zone table delivered with Deltek Workforce. The default will be "Select."
The value you select will be stored as your preference. If your security role allows time zone modification, you can access your time zone selection from either the Preferences or Employee Information screens. If your security role does not allow time zone modification, you can still view the time zone from these screens.
Whether users of a particular security role are allowed to modify their time zone is determined by the Modify Time Zone check box in the Time Zone Settings section of the Security Roles screen. Selecting this check box allows users assigned to the role to change their time zone through their Preferences screen. If the users have rights to the Employee Information screen, they can change their time zone on the Defaults tab.
If you do not select the Modify Time Zone check box, users assigned the security role will not be able to change their time zone after the initial login selection.
If your security role allows you to modify your time zone, you can select a different one from the Time Zone drop-down box in the Time Zone Settings group box in the Preferences screen. If your security role allows you to modify your time zone and you have rights to the Employee Information screen, you can select a different time zone from the Time Zone drop-down box in the Time Zone Settings group box in the Defaults tab. The drop-down box displays both the time zone description and code from the Time Zone table delivered with Deltek Workforce.
If you are not allowed to modify the time zone, the drop-down will display a value and be disabled.
The timesheet that displays when you select the Timesheet option from the menu is based on the server and user time zones. Likewise, when you click Open in the Timesheet screen, the default day shown in the is also determined by the server and user time zones.
When the timesheet is saved, the system uses the server and user time zones to determine correctness for the following:
Future Hours - Depending on the UDT01 type, you can charge certain UDT01s in advance (if the Future check box is selected in the UDT01 Types screen). The system calculates whether the hours were added for the charge for a future date by looking at the server and user time zones.
Employee adds new timesheet hours to a previous day where there were already hours - The system calculates whether the hours were actually added on a previous day by looking at the server and user time zones.
The Date that displays on the Criteria tab of the Daily Floor Check screen is determined by the server and user time zones.
The default Expense Report Date displayed in Expense Report is determined by the server and user time zones.
Select the server's time zone: If you do not want "America/New_York" as your server’s time zone, open the General screen from the Configuration menu. Go to the General Options tab. Select the appropriate time zone from the Time Zone drop-down box in the Server Settings section group box.
Employee’s time zone: Have the employees log into the system and select the appropriate time zone when the dialog appears. If their security role allows time zone modification, they can modify their time zone in the Preferences screen.
