Security Roles

Use this application to set up screen rights, based on your licenses, for every screen in the system. All screens are grouped within each role you have created. You can then assign the role to an employee.  For example, you could create a role of "ADMIN," giving full rights to all screens. Then you could assign all employees who are designated administrators to the "ADMIN" role. You can create a role of "EMPLOYEE," giving full rights to only the Timesheet, Expense Report, and Expense Authorization screens and browse only or no rights to the other screens in the system.

You cannot delete a Role Code if it is being used as the default role code in the General Configuration screen or if it is being used for an employee's role. You also cannot delete the "Default" security role that was shipped with the system as part of the initialization data.

When do I use the Security Roles screen?

Use this screen when you initialize Deltek Time\Expense\Self Service.

Role Code

Enter a 10-character, uppercase alphanumeric Role Code. Each Role Code must be unique.  Although this code does not display in other screens, you should assign a meaningful code because this field can be used in user-defined reports/inquiries.

Description

Enter a Role Code description of up to 30 characters. Because they are used in drop-down boxes and as column headings for reports/inquiries, make descriptions as short as possible and properly capitalized. Each role code description must be unique.

Security Settings

Apply Employee Level Security

Select this checkbox to turn on employee level security. This checkbox is unselected by default.

Apply Charge Level Security

Select this checkbox to turn on charge level security. This checkbox is unselected by default.

Modify Employee Role

Select this checkbox to allow employees with this security role to change other employees' security roles in the Default tab of the Employee Information screen. This checkbox is unselected by default.

Time Zone Settings

Modify Time Zone

Select this checkbox to allow employees with this security role to change their time zone. This checkbox is unselected by default.

Delegation Settings

Allow Delegation

Select this checkbox allow employees with this security role to delegate their tasks to another employee when they are unable to perform those tasks themselves. This checkbox is unselected by default.

Table Window

Screen

The screens that display in this table depend on your licensing.  If you are licensed only for Deltek Time, you will see only Time screens. If you are licensed for only Deltek Expense, you will see only Expense screens. If you are licensed for both Time and Expense, you will see all screens displayed in the table.  

If you did not define a UDT as Used in the General Configuration screen, it will display in this table as UDTXX, where the XX is the number of the UDT.

Rights

Select the rights that you wish to assign to this role for each screen. The valid options are "No Rights," "Browse Only," or "Full Rights."  

If you select "No Rights" for a particular screen, users assigned to the role code will not see that screen in the menu navigation area.

If you select "Browse Only" for a particular screen, users assigned to the role code will see that screen in the menu navigation area but will only be able to browse the data.

Select "Full Rights" to allow the users assigned to the role code to do everything in the screen.
