Employee Group Types

Use this screen to establish a logical grouping of employees in an easy and efficient manner. For example, you may have a group type called "Department." You could assign all groups that represent departments to that type.

The system uses group types to filter the list of groups displayed. More importantly, you can use group types to restrict an employee to membership in only one group of a particular type. Then, when you add the employee to a group of that type, he is automatically removed from any other group of that type.

When do I use the Employee Group Types screen?

Use this screen when initializing Deltek Time\Expense\Self Service. You should set up the employee group types before you set up employee groups.

Group Type Code

Enter a 10-character, uppercase alphanumeric employee group type code.  Each employee Group Type Code must be unique. Although this code does not display in other screens, you should assign a meaningful code because this field can be used in user-defined reports/inquiries.

Description

Enter an employee group type description of up to 30 characters.  Because they are used in drop-down boxes and as column headings for reports/inquiries, make descriptions as short as possible and properly capitalized.  Each employee group type Description must be unique.

Restrict Occurrence

Enter an employee group type description of up to 30 characters.  Because they are used in drop-down boxes and as column headings for reports/inquiries, make descriptions as short as possible and properly capitalized.  Each employee group type Description must be unique.

The download from Costpoint 4.0 will create the following Employee Group Types if they do not already exist:

  • DELTEKS – for a supervisor group type.

  • DELTEKM – for a manager group type.

  • DELTEKO# - for organizational group types where # equals the level number of the organization.

The download from Costpoint 5.0 and higher will create the same Employee Group Types as listed above with the addition of a DELTEKC group type for company.

If you add an employee to an additional group in the Employee Groups screen in the Personnel menu and you have selected the Restrict Occurrence checkbox in this screen, the system will delete the employee from the original group if you select Yes from the following message:  "Because of the group’s type, the selected employees may be transferred out of other groups. Do you want to continue?"

You cannot delete an employee group type if it is being used as a group type for an existing group.
