Use this section to view the current Workflow tasks that you need to perform.
The total number of tasks is displayed in parentheses on the MyTasks heading. Below the MyTasks heading are groupings of the types of tasks. Each grouping displays the number of tasks along with a "+" or "-" to expand or collapse the group. Select "+" to expand the list so the task details are displayed. Only groupings that have tasks are displayed.
Click the Task label to expand the list of tasks. Select the check box to the left of a task to select it, or select the check box located in the header to select or deselect all the tasks. Each check box in the left column will become checked or unchecked accordingly. After you have selected the task(s), click Launch to initiate them.
The possible groupings are as follows:
Leave Requests Pending Approval - These are leave requests that you need to approve as determined by the tasks set up in the Events and/or Timesheet Classes screens. (Deltek Time only)
Expense Reports Pending Review - These are the expense reports that you need to review as determined by the tasks set up in the Expense Report Types and/or Expense Classes screens. (Deltek Expense only)
Expense Reports Pending Signature - These are the expense reports that you need to sign as determined by the tasks set up in the Expense Report Types and/or Expense Classes screens. (Deltek Expense only)
Expense Reports Pending Approval - These are the expense reports that you need to approve as determined by the tasks set up in the Expense Report Types screen. (Deltek Expense only)
Expenses Pending Approval - These are the expenses that you need to approve as determined by the line level approval functionality. (Deltek Expense only)
Expense Report Pending Receipt Images -These are the expense reports that are awaiting receipt images as determined by the expense report type setup. (Deltek Expense Only)
Expense Reports Pending Receipts - These are the expense reports that are awaiting receipts as determined by the expense type setup. (Deltek Expense only)
Expense Authorizations Pending Review - These are the expense authorizations that you need to review as determined by the tasks set up in the Expense Report Types screen. (Deltek Expense only)
Expense Authorizations Pending Signature - These are the expense authorizations that you need to sign as determined by the tasks set up in the Expense Report Types screen. (Deltek Expense only)
Expense Authorizations Pending Approval - These are the expense authorizations that you need to approve as determined by the tasks set up in the Expense Report Types screen. (Deltek Expense only)
Expense Authorizations Pending Cash Advance Approval - These are the cash advance requests in expense authorizations that you need to approve as determined by the tasks set up in the Expense Report Types screen. (Deltek Expense only)
Timesheets Pending Review - These are the timesheets that you need to review as determined by the tasks set up in the Events and/or Timesheet Classes screens. (Deltek Time only)
Timesheets Pending Update - These are the timesheets that you need to update as determined by the tasks set up in the Events and/or Timesheet Classes screens. (Deltek Time only)
Timesheets Pending Signature - These are the timesheets that you need to sign as determined by the tasks set up in the Events and/or Timesheet Classes screens. (Deltek Time only)
Timesheets Pending Approval - These are the timesheets that you need to approve as determined by the tasks set up in the Events and/or Timesheet Classes screens. (Deltek Time only)
Within each type, the items are sorted by the origination date.
Select Launch to display the selected timesheets, expense reports, or work schedules in the appropriate screen.
Select Delete to delete the selected tasks. The system will display the following message:
"Are you sure you want to delete this record(s)?"
If you select Yes, the selected records will be deleted and the desktop will be refreshed. If you select No, the tasks will remain with a selected status.
The description of the task will display to the right of the checkbox. It may be cut off if it is too long; however, the full text will display when you hover your cursor over the description.
The color of the items will be different depending on how you set up their priority in the Events or Expense Report Types screens. If an item is low priority, it will display with black lettering on white background. If an item is medium priority, it will display with black lettering on yellow background. If an item is high priority, it will display with white lettering on red background.
Select a description to bring up the Details informational dialog.
This non-editable field displays the date and time the task originated. For example, if you set up an event that sends a task to a supervisor when an employee signs a timesheet, this field will display the date and time the employee signed it.
This non-editable field displays the date and time the task changed to medium priority. A task changes to medium priority in accordance with the setting in the Upgrade to Medium After group box in the Events or Expense Report Types screens.
This non-editable field displays the date and time the task changed to high priority. A task changes to high priority in accordance with the setting in the Upgrade to High After group box in the Events or Expense Report Types screens.
This non-editable field displays the name of the person that originated the task.
This non-editable field displays the functional role name of the person who will receive the task. For example, if you set up an event that sends a task to a supervisor when an employee signs a timesheet, this field will display the functional role name of the supervisor.
This non-editable field displays notes that were created through the workflow process. Not all tasks have notes.
Select the Launch pushbutton to close the dialog and open the appropriate screen with the selected record.
Select the Close pushbutton to close the dialog and return to the MyDesktop screen.
