Deltek Time & Expense with Employee Self Service supports Costpoint's multicompany option.
First, the interface creates employee groups for each Costpoint company. It also creates charge trees based on company. Using the charge tree restriction feature, you can limit a company to the charges contained in their charge tree.
When you create a timesheet or an expense report, the system stamps your company on it from the most current Employee History record. When you do a charge Lookup, the system restricts you to your company's project charges. After you select a project, the Costpoint multicompany feature restricts certain UDT values to the employee's or project's company.
You can export timesheets or expense reports for only one Costpoint company in the same batch. This is a Costpoint limitation.
In order to limit valid UDTs for certain Costpoint company codes, the Costpoint multicompany feature adds an additional company ID to several tables within Deltek Time & Expense with Employee Self Service. Below is a synopsis of how the company ID works for each table:
Employee - You assign employees to a specific Costpoint Company. An employee can belong to only one company. Although this information is stored in the Employee History file in Deltek Time & Expense with Employee Self Service, Costpoint rules stipulate that a specific employee ID can be assigned to only one company. The employee is populated via the Costpoint interface. It uses the company ID to filter the following user-defined fields, if they are valid for the employee:
Reference 1 (UDT04)
Reference 2 (UDT05)
GLC (UDT06)
Org (UDT09)
Project (UDT02) - You assign projects to a specific Costpoint company. A project can belong to only one company. This field is populated via the Costpoint interface. It uses the company ID to filter the following user-defined field, if it is valid for the employee:
PLC (UDT07)
Reference 1 (UDT04) - You assign reference codes to a specific Costpoint company. Costpoint rules stipulate that a specific reference number cannot exist in more than one company. This field is populated via the Costpoint interface.
Reference 2 (UDT05) - You assign reference codes to a specific Costpoint company. Costpoint rules stipulate that a specific reference number cannot exist for more than one company. This field is populated via the Costpoint interface.
GLC (UDT06) - Each Costpoint company can have its own set of GLC codes. Thus, a GLC of "SE" can be valid for one company and not valid for another. In one company, "AA" might represent an "Audit Administrator," and in another company, it might represent an "Assistant Administrator." This field is populated via the Costpoint interface.
PLC (UDT07) - Because projects are assigned to Costpoint companies, we have added a company code to PLC table. This field is populated via the Costpoint interface.
Org (UDT09) – You assign organization codes to a specific Costpoint Company. Costpoint rules stipulate that a specific organization cannot exist for more than one company. This field is populated via the Costpoint interface.
