Clear Timesheets

Use this utility to delete unwanted timesheets from the database. The application deletes selected rows from the following tables: Timesheet, Timesheet Line, Timesheet Cell, Timesheet Day, Timesheet Revision, Timesheet Invoice, Timesheet Audit, Timesheet Start/Stop Times, Employee Leave, and Desktop Tasks.

When do I use the Clear Timesheets screen?

Use this screen any time you want to delete timesheet information.

The Clear Timesheet screen is a process application.

Criteria

Timesheet Period

Use this drop-down box to select a timesheet period. Available selections include all timesheet periods that contain at least one timesheet. The periods are listed in reverse chronological order with no default.

If you change the Timesheet Period value, the Group drop-down box will be cleared, the employee list will be cleared, and the Execute pushbutton will be disabled until you have made selections.

Group

Use this drop-down box to select an employee group from which you can select employees in the employee list. All groups that you supervise that have members with timesheets for the selected timesheet period are available in the drop-down box. The groups are listed by description in alphabetical order.

If you change the employee Group value, the employee list will be cleared and the Execute pushbutton is disabled until you have made a selection.

Employees

All employees that have a timesheet in the selected Group and for the selected timesheet Period display in the list.  Select the employees whose timesheets you want to delete. You can select multiple employees. Employees are listed in alphabetical order. If he system is configured to show employee IDs, the ID will display in parentheses after the employee name in the Employees list.

The number of employees displayed reflects the number supplied in the Max Table Rows field in the General Options tab of the General Configuration screen. If there are more employees to be displayed, the More pushbutton will appear on the bottom of the screen.

Select All

Use the Select All pushbutton to select all displayed employees. Once selected, the pushbutton will become Deselect All. To select particular rows, highlight the row using a left mouse click.

Execute

Select the Execute pushbutton to delete the selected employee timesheets. The system will display the following confirmation message: "Are you sure you want to delete this timesheet(s)?"  

If you select Yes, the system will delete rows in the following tables: Timesheet, Timesheet Line, Timesheet Cell, Timesheet Day, Timesheet Revision, Timesheet Audit, Timesheet Invoice, Employee Leave, and Desktop Tasks.  When the deletion is complete, the system will display the following message: "Process completed successfully."

If you select No, the screen will remain displayed with selections intact.

Close

Select the Close pushbutton to close the screen and return to your designated default screen as set up in your preferences.

More

Select the More pushbutton to display the next set of employees. If you select employees before selecting the More pushbutton, the system will display the following confirmation message: "Current selection of records will be lost. Do you want to continue?"

If you select Yes, the next set of employees will display and the current selection will be cleared.  If you select No, the current selection of employees will remain.
