A graphical representation of the drill-down will display at the top of the screen as you drill down through the levels. Each level above the current level will display as a hyperlink in the graphical display. Select any of these links to display the information at that level.
The charges that display in the Results tab table depend on the criteria you selected in the Criteria tab. The charges are listed in alphabetical order either by charge ID or employee name.
In order to drill down into the information for that charge, select the "+" button to the left of the row. If you selected a Level 1 in the Criteria tab, the information for that level will display. If you did not select a Level 1, the detail information for the charge will display.
This non-editable column displays either the selected charge IDs or employee names, depending on the Level you selected in the Criteria tab. If you selected "Employee" and the system is configured to show employee IDs, the ID will display in parentheses after the employee name.
This non-editable column displays the line description for the charge.
When the Approval Status is "Approved," this non-editable column displays the sum of approved regular hours for the charge for the selected Schedule, Year, Period, and Level from the Criteria tab.
When the Approval Status is "Pending Approval" or "Rejected," this non-editable column displays the sum of the entered regular hours minus any approved regular hours for the selected Level.
When the Approval Status is "Approved," this non-editable column displays the sum of approved overtime hours for the charge for the selected Schedule, Year, Period, and Level from the Criteria tab.
When the Approval Status is "Pending Approval" or "Rejected," this non-editable column displays the sum of the entered overtime hours minus any approved overtime hours for the selected Level.
Highlight a charge row in the table by selecting the button to the left of the "+" button. Then select the Approve Charges function to approve the charges. If the timesheet is available, the timesheet line, timesheet cell, and timesheet header tables will be updated with the approval information.
If the timesheet(s) are not available, the system will display the following error message:
"There are employee timesheet(s) that are unavailable. Please select the Details pushbutton for a list of employee information."
If you select the Details pushbutton, each unavailable timesheet will be listed with employee name, employee ID (if your system is configured to show employee IDs), the timesheet schedule, and timesheet period ending date.
The table will be refreshed when the approval is complete. For example, if you select the "Pending Approval" status and approve one of the rows, the approved row will no longer appear in the table after the table refreshes. If all records in the table have been approved, the system will display the following message:
“There are no more records to display.”
Highlight a charge row in the table by selecting the button to the left of the "+" button. Then select the Reject Charges function to reject the charge. A Reject Charges dialog will display where you can enter the Reason for Rejection.
The table will be refreshed when the rejection is complete. For example, if you select the "Approved" status and reject one of the rows, the rejected row will no longer appear in the table after the table refreshes. If all records in the table have been rejected, the system will display the following message: "There are no more records to display."
This non-editable field displays the total regular hours for the charges in the table, excluding cost-only hours.
This non-editable field displays the total overtime hours for the charges in the table, excluding cost-only hours.
Use the Select All pushbutton to select all displayed charges. Once you have made a selection, the pushbutton will become Deselect All. To select a row, highlight the row using a left mouse click.
Select the Close pushbutton to close this screen.
This dialog will display if you select the Reject Charges function from any of the Results tabs.
Enter up to 254 characters for the rejection reason. This field is scrollable.
Select the OK pushbutton to complete the rejection process for the row(s). If the timesheet is available, the timesheet line, timesheet cell, and timesheet header tables will be updated with the rejection information.
If the timesheet(s) are not available, the system will display the following error message: "There are employee timesheet(s) that are unavailable. Please select the Details pushbutton for a list of employee information."
If you select the Details pushbutton, each unavailable timesheet will be listed with employee name, employee ID (if your system is configured to show employee IDs), the timesheet schedule, and timesheet period ending date.
The dialog will close and the Results tab table will be refreshed. If an event is set to be triggered when a timesheet line is rejected, the workflow process will begin.
Select the Cancel pushbutton to close the dialog without rejecting the row(s).
